Job Description
Summary: United Talent Agency is a leading global entertainment company, and they are seeking an Assistant for the UTA Foundation. The role involves managing schedules, supporting executives, and coordinating philanthropic initiatives while ensuring effective communication and organization within a fast-paced environment.
Responsibilities:
- Manage phone, calendar, and research for meetings, schedule virtual meetings and calls, internally and externally
- Maintain contacts and databases on behalf of the department; troubleshoot and streamline systems where appropriate (experience with Pipedrive, Deed, Asana, Tailored Mail a plus)
- Strong project management skills, used to proactively support volunteer events, community partnerships, and programs to benefit the team
- Coordinate details and logistics for Foundation programming
- Pays great attention to detail, used to streamline workflow and execution across the team
- Conduct research, analysis and vetting of non-profit organizations in support of projects
- Liaising with internal staff at all levels and external community partners and non-profits
- Special projects support for hosted events, volunteer initiatives, data clean-up, and more
Required Qualifications:
- 1+ years' experience working in an assistant capacity (internship experience ok)
- Highly professional with excellent judgment
- Strong ability to liaise with key senior-level executives
- Ability to work under pressure and in a fast-paced environment
- Can-do, positive attitude and willing to “go the extra mile”
- Critical attention to detail and highly organized, while still thinking “big picture”
- Team player mentality
- Highly proficient technical skills with Microsoft Office suite (Outlook, Excel, Word, PowerPoint)
- Capable of managing several projects simultaneously with minimal supervision
Preferred Qualifications:
- Bachelor's degree strongly preferred but not required
- Experience with an entertainment company or non-profit organization a plus
- Experience with Pipedrive, Deed, Asana, Tailored Mail a plus
- Familiarity with video conferencing systems (Zoom, Slack)
- Proficient in social media (Instagram, LinkedIn)
