Trust Accounting Specialist at TopDog Law in Jupiter, FL

Our Story

TopDog Law is not your typical law firm. We're a nationally scaling personal injury firm built for impact and growth — owning the client experience end-to-end, from marketing and intake through litigation. We believe that world-class marketing, paired with exceptional legal talent and operations, creates better experiences and outcomes for clients and the business alike.

Over the past three years, we've grown 2–3x year over year, setting a new standard on the marketing side of the personal injury space and proving what's possible when strategy, speed, and execution align. Now we're applying that same discipline and innovation to firm operations, case management, and national scale — intentionally building the infrastructure, systems, and teams to grow without sacrificing quality, culture, or accountability.

We are a fully remote team that share trust, open communication, and a commitment to doing great work. If you love ownership, thrive in a fast-moving environment, and want to help build something exceptional, you'll feel right at home here.

The Opportunity

The Trust Accounting Specialist is responsible for validating, reconciling, and monitoring client trust transactions to ensure accuracy, compliance, and adherence to applicable State Bar trust accounting requirements. This role serves as a key control point between legal operations, finance, banking, and Accounts Payable — ensuring trust funds are accurately received, maintained, and disbursed.

This work requires domain-specific knowledge: IOLTA rules, matter-level trust reconciliation, State Bar accountability, and the compliance consequences of errors. Candidates who understand regulated financial environments and want to grow within a compliance-driven legal finance operation will thrive here.

This position is ideal for a detail-oriented accounting or finance professional who enjoys problem solving, process improvement, and leveraging technology to enhance financial operations. Career path leads to Senior Trust Operations Specialist.

What You Will Own

• Review and validate trust disbursement requests originating from Filevine against settlement statements and supporting documentation.
• Map and code disbursement transactions to the appropriate accounts within NetSuite.
• Review check images in the RDC staging queue, validate against the correct client, bank account, and confirm the destination trust account before deposit.
• Initiate ACH and wire transactions in the payment platform.
• Perform client-level trust reconciliations in accordance with applicable State Bar requirements across all active state jurisdictions.
• Research and resolve discrepancies, outstanding checks, returned payments, and exception items within established SLAs.
• Prepare reconciliation schedules, reports, and audit support documentation.
• Monitor trust balances, aging items, and exception queues — escalate exceptions.
• Partner with legal, finance, banking, and AP teams to resolve complex trust issues.
• Recommend process improvements and automation opportunities within daily workflows.

• Perform other duties and special projects as assigned.
