Executive Assistant at Neuemotion in Denver, CO
Skills
Job Description
Neuemotion is an award-winning, full-service advertising agency with an expertise in B2B marketing. Our customers range from Fortune 100 companies to startups. We’re a global, fully remote company with an HQ in Denver, Colorado and over the next couple of years we expect that base to move to Boulder. We’ve been named an Ad Age Best Place to Work for 2026 and strongly believe that the best creative teams are the ones that are having the most fun. Neuemotion applies the scientific method to advertising and marketing, producing work that performs and entertains. Science-backed creative ideas, built for human attention - that’s Neuemotion.
The job:
You'll be the first Executive Assistant at neuemotion and you’ll support five executives to varying degrees, with half your week going to the CEO. The job is to take the tasks that eat into their days so they can do the work they are meant to do. You are not an office manager, an HR coordinator, or an event planner. You are the person who makes sure the calendar holds, the flights are booked, vendors for executive initiatives are managed, the meeting prep is done, and the thing someone said they'd do actually gets done.
How your time breaks down:
- 50% - CEO. Calendar, inbox, and travel. Prep for new business and client meetings. Tracking commitments he's made and making sure they close. One-off tasks that come up constantly - a congratulations note to a client who just completed a major milestone, a gift, a follow-up someone's been waiting on.
- 20% - Director of Operations. Scheduling and vendor coordination. Sourcing and booking travel for team members, which she currently does herself.
- 30% - VP Client Services, SVP Brand Strategy, SVP Production (10% each). Calendar and flights. When a kid gets sick or they get sick, you move things. When one of them says "I need a real work day this week," you make one.
The Denver/Boulder part:
We're remote, but we have a physical base that currently resides in Denver and this role needs to be near it. Concretely:
- Stop by our office roughly once a week to scan incoming mail and handle anything physical.
- Keep our camera and production equipment packed, organized, and ready to go, so when the production crew comes through for a shoot they can grab it and leave.
- Ship equipment to team members and shoots as needed.
- Help with logistics for company events - our annual Creative Retreat, activations at industry events - as the person who books and coordinates. Someone else owns the vision, you own the confirmations.
- You'll set your own in-office rhythm.
Neuemotion is planning a move to Boulder, CO over the next 6-12 months so preferably the candidate understands that long term the office would be managed from there.
Who will do well in this role:
You've supported at least one founder or senior executive before, ideally in a fast-moving, small company. First-EA-in-the-building experience is a plus.
You are organized in a way that other people notice and rely on.
You write clearly. Most of this job is communication and a lot of it happens in writing.
You're comfortable with ambiguity. There is no playbook for this role yet. You'll help write it.
You can hold five people's context at once and know which fire is the real one.
You are discreet. You will see calendars, inboxes, and conversations that aren't yours to share.
You can lift a Pelican case and don't mind a trip to the post office.
You're in or near Denver and/or Boulder and plan to stay.
You understand that this role may evolve as the company grows into servicing one executive or group of executives more so than another, but like having a say in how/when that is determined.
A plus? You already understand Google Workspace, Slack, Asana, Harvest and Claude.
