About Lumida

Lumida is a venture-backed, AI-native wealth advisor for modern investors seeking institutional-caliber access across public markets, private deals, and alternative investments.

Backed by investors and board leaders from companies including SoFi, Circle, and Coinbase, Lumida brings venture-scale ambition to an industry overdue for reinvention.

As a client’s Wealth Architect, Lumida integrates investment management, trust and estate planning, tax mitigation, and differentiated opportunities into one coordinated wealth strategy.

Our clients are founders, builders, and independent thinkers. We built Lumida with the same mindset: curious, original, and unwilling to accept the conventional.

We help clients build, protect, and transfer wealth — and invest beyond the ordinary.

The Role

Lumida is growing quickly and preparing for its next phase of growth. We are looking for a competitive, driven, and accomplished Chief of Staff who is passionate about disrupting wealth management with AI.

You will work directly with the CEO as a right hand and strategic partner, leading projects, aligning teams, and driving execution across every function of the business. This is not a support role. You will own outcomes across operations, finance, recruiting, marketing, compliance, investor relations, and deal execution. You need to be equally comfortable building a financial model, running a recruiting pipeline, coaching a team member, and drafting an investor update.

The ideal candidate is a hybrid operator-strategist with a consultant’s mindset and an operator’s discipline, someone who thrives in high-speed, high-accountability environments with minimal hand-holding.

Key Responsibilities

1. Executive Operations

• Serve as the CEO’s right hand: manage priorities, drive alignment across teams, and ensure the right things happen at the right time.
• Drive the execution of critical initiatives and partnerships, ensuring they are completed on time and within scope.
• Lead weekly management routines, staff meetings, and 1:1s with team members to maintain focus and accountability.
• Draft and distribute investor updates, board materials, and executive communications.

Executive Assistant Tasks

• Manage the CEO’s calendar, scheduling, and daily agenda across time zones.
• Coordinate travel, meetings, and logistics for the CEO and senior leadership.
• Prepare briefing materials, talking points, and follow-up notes for external meetings, investor calls, and board sessions.
• Triage and prioritize inbound communications, ensuring the CEO’s time is spent on the highest-impact items.
• Manage document flow: NDAs, contracts, and signature requests routed through the CEO’s office.

2. Business Operations

• Lead budgeting, forecasting, and financial modeling to support executive decision-making.
• Build dashboards and performance tracking frameworks to monitor firm growth, profitability, and unit economics.
• Provide strategic insights to leadership on resource allocation and prioritization across business and investment opportunities.
• Draft and produce high-quality written materials: op-eds, social media threads, presentations, and marketing collateral, working directly with the CEO.
• Manage compliance operations in partnership with external vendors and the Compliance Officer.
• Identify operational gaps, draft and implement business processes and SOPs, and drive continuous improvement.
• Champion AI-enabled automation across recruiting, operations, compliance, and client service. Lumida incorporates AI into workflows from earnings transcript analysis to portfolio construction; you are a natural early adopter, always seeking ways to refactor workflows with greater efficiency.

3. People Operations & Recruitment

• Lead full-cycle recruiting efforts to attract top talent across engineering, sales, advisory, marketing, and operations.
• Own the recruiting pipeline: sourcing, screening, scheduling, interview coordination, offer negotiation, and onboarding.
• Design and maintain AI-enabled hiring workflows to maximize speed and quality of hire.
• Build and maintain people infrastructure: performance review frameworks, KPI tracking, feedback systems, and org design.
• Manage employment agreements, contractor agreements, and offer letters.
• Own the employee onboarding experience across both US and Karachi offices.

4. Special Projects

• Lead and execute high-priority, cross-functional projects that don’t fit neatly into a single department, reporting directly to the CEO.

Fundraising & Capital Raises

• Support the preparation and execution of fundraising rounds (Reg D, community rounds), including investor materials, data rooms, and outreach coordination.
• Draft pitch decks, investor memos, and term sheet summaries for CEO review.
• Manage investor communications and follow-ups throughout the fundraising lifecycle.

Community Rounds

• Coordinate the end-to-end execution of community investment rounds, including regulatory documentation, investor onboarding, and communications.
• Manage the community round platform, FAQ materials, and investor inquiries.

In-Person Events

• Plan and execute Lumida events and conferences for prospects, clients, investors, and community.
• Manage event logistics, vendor coordination, guest lists, and post-event follow-ups.
• Lead community communications and engagement across Lumida’s channels around events.

Audits & Regulatory Projects

• Coordinate SEC examination responses, audit preparation, and regulatory document production.
• Manage relationships with external counsel and compliance consultants for audit-related matters.
• Ensure timely completion of all regulatory filings, reviews, and follow-up items.

5. Administration (US & Karachi Offices)

• Oversee day-to-day administrative operations across both the Wayne, NJ and Karachi offices.
• Manage office logistics, vendor relationships, supplies, and facilities for both locations.
• Coordinate cross-office communication, ensuring alignment on schedules, deliverables, and firm-wide announcements.
• Own the firm’s operational calendar: board meetings, compliance deadlines, payroll cycles, renewal dates, and planning cadences.
• Manage relationships with external service providers (legal, accounting, insurance, IT) across both jurisdictions.
• Ensure smooth onboarding logistics for new hires in both offices (equipment, access, workspace, orientation).

What We’re Looking For

• A hybrid operator-investor with 5+ years of experience across consulting, business operations, investment banking, private equity, venture capital, or a family office.
• An all-around athlete with strong organizational and project management skills, capable of running parallel workstreams across finance, operations, compliance, recruiting, and deal execution.
• Strategic and analytical, with strong judgment and the ability to distill complex issues into clear, actionable insights.
• Proactive and entrepreneurial, thriving in high-speed, high-accountability environments with minimal hand-holding.
• Exceptional writing and communication, capable of distilling complex investment and operational issues clearly.
• Competitive, adaptable, and coachable, with a strong self-improvement mindset.

Qualifications

• 5+ years of experience in business operations, management consulting, FP&A, or a similar role.
• Preference for candidates from top consulting firms (McKinsey, Bain, BCG, Deloitte, PwC) or startup operations backgrounds.
• Track record of producing detailed financial models, market analyses, and investment memos.
• Familiarity with compliance operations, tax documentation, and vendor oversight.
• Experience in wealth management, RIA environments, or fintech is a strong plus.
• Bachelor’s degree in Finance, Business, Economics, or a related field. MBA or CFA preferred but not required.

Compensation

• Competitive base salary plus performance bonus.

Our Culture

We believe in intellectual honesty, craftsmanship, and continuous improvement. We reward initiative, rigor, and the ability to elevate others. You will work closely with a seasoned founder in an environment built for people who hold themselves to the highest standards, are resilient, have a growth mindset, and are open to direct feedback and coaching.
