Implementation Coordinator at JobNimbus in Lehi, UT

We are obsessed with the hero's journey at JobNimbus. Every person has a hero's journey. Hermione Granger, James T. Kirk, Frodo Baggins, Anna & Elsa, Nacho Libre, and even YOU! This is our “call to adventure” to come check out JobNimbus. What do you have to lose? You might make a few new friends, learn about a sick new company doing some amazing things, and maybe you’ll even land a new job! Mission: Own the operational backbone of the Pro Services team. Ensure every implementation runs on time, every customer is supported, and nothing falls through the cracks-from kickoff call to go-live handoff. What You'll Be Doing: • Own end-to-end scheduling of onboarding and kickoff calls between new customers and Implementation Consultants • Facilitate structured kickoff calls that orient customers to the process, introduce the team, and set a clear go-live timeline • Maintain accurate, up-to-date project tracking across all active implementations-this is where things get caught, not dropped • Send proactive status updates to customers and internal stakeholders; own the follow-up when emails go unanswered • Prepare and deliver implementation completion reports at go-live, then formally hand customers off to CAE and TAM teams • Serve as a warm, professional point of contact for customers throughout the implementation journey • Coordinate QuickBooks and Data Migration implementations in parallel, flagging dependencies before they create delays • Maintain clean records in HubSpot and Confluence; identify process gaps and propose improvements • Step in to support consultants when capacity is stretched-jumping on calls, handling light questions, and supporting customers in real time What Makes You the Hero for This Job: • 1–3 years of experience in coordination, operations, customer service, or a related field • Exceptional organizational skills and follow-through-this is non-negotiable • Strong written and verbal communication; you write clearly, professionally, and concisely • Able to manage multiple concurrent projects without losing track of any of them • Proficient in Google Workspace (Gmail, Calendar, Sheets, Docs) • Proactive mindset-you flag problems before they become fires  Superpowers: • Ownership. You own every implementation from kickoff to go-live-not just your slice of it. If a timeline is slipping, a customer hasn't responded, or a handoff is at risk, you're the one who notices and acts. No one has to chase you. • Customer Obsessed. You treat every customer interaction-a scheduling email, a prep reminder, a go-live handoff-as a chance to make someone feel genuinely taken care of. Our customers should finish implementation thinking, "That team had it together from day one." • Proactive Learning. You don't just coordinate the process-you understand it. You go deep on JobNimbus so that when a consultant needs backup, you can step in and actually help. Curiosity and continuous growth are how you stay ahead of the chaos. • Team Commitment. You're the connective tissue between customers, consultants, sales, and account management. You communicate clearly, loop in the right people at the right time, and care about the team's collective success as much as your own. • Self Awareness. You know you're not the one configuring the software-and you're great with that. You understand where your role starts and ends, build systems around your strengths, and ask for help before things go sideways Mentor (Hit us up to get more information) Matt Nelson - Specialist in hiring amazing people, lover of music, Connect Four, ping pong, tennis, pickleball, photography and recruiting.
