Billing Contact Details Assistant

Office Administration | Billing Contacts | Remote | Full-time | 55,120–58,240 per year

Before an invoice can reach the right person, the billing record has to show the right recipient and delivery method. This remote assistant role updates those administrative fields when a customer or authorized contact submits a change. The Billing Contact Details Assistant checks the source, makes a permitted update in the online system, and leaves a clear record for the billing team. You will not change prices, approve credits, or resolve payment disputes.

The careful part of a simple change

A message might say, “Send invoices to our new accounts mailbox.” You must check the correct account and whether the request came through an approved route. If the instruction also refers to past invoices, do not assume that changing a contact field automatically sends old documents. Ask or refer as directed. If two similar company names appear, confirm which record is involved before editing either. A field that looks small can cause confidential information to go to the wrong recipient if handled casually.

Some requests involve a new purchase order reference or a different delivery preference. The employer will specify which fields this role can maintain. A useful note states the requested change, its source, when it took effect, and anything awaiting verification. After an authorized edit, check the saved record rather than relying only on a success message. When the request conflicts with another approved contact, route the conflict to the billing owner.

Tasks in the role

• Review online requests to change billing contacts or delivery settings.
• Match requests to the correct customer account using approved checks.
• Update permitted fields in the billing system.
• Keep a source note so the change can be understood later.
• Identify an incomplete or conflicting instruction and seek clarification.
• Send a courteous acknowledgement when the update is confirmed.
• Route invoice questions outside the administrative change to a specialist.
• Protect account and recipient information under company procedures.

Customer service and office administration experience are both useful, but neither is mandatory. The employer can train a careful beginner on its authorization rules, billing software, and communication style. You should be able to read written requests precisely, navigate online records, and know when not to make a change. An accounting qualification is not required; this is contact maintenance rather than bookkeeping.

Remote arrangement: This is a full-time position; the employer will confirm its hours. A private home office or similar environment helps protect billing records. The hiring company will confirm its actual pay and equipment arrangements.

A change to the billing recipient can affect future notices without changing an already issued invoice. Be explicit about which action was completed. If a customer requests that a past statement be resent, route that separate request through the secure delivery process. If the contact is a shared mailbox, check the employer's authorization rules rather than assuming any business address is safe. An accurate acknowledgement should avoid implying that an invoice has been changed when only its delivery setting was updated.

The role may involve periodic checks of pending requests so that an unanswered authorization question is visible to the team. A record should not be marked complete merely because someone entered a new email address.

This work relies on exact recipient details. An address with one missing character may look valid in the form but prevent the invoice from arriving. Use the employer's confirmation procedure when a new email address is supplied, and make an undelivered notice visible to the billing owner.

Changing a billing email address can affect where future invoices and statements go. Check that the request comes through an authorised route, identify the account and confirm which contact field is being changed. A one-time request for a copy may not mean the customer wants the permanent billing contact replaced. If the record lists multiple recipients, flag an instruction that does not say which one to update. Leave a note about the approved change and its effective point so the billing team can check the next delivery.

Application information

If you have kept contact details current or handled information for a specific recipient, explain how you verified the change. A small example can show the attention required here. Prior billing experience is welcome but not a condition. The hiring company may ask shortlisted applicants for an additional website application. The employer will clarify which billing fields this opening handles.
