Job Description
Summary: GBMC HealthCare is seeking a Volunteer Services Administrative Coordinator to support Volunteer Services and enhance customer service excellence. The role involves coordinating office operations, supervising volunteers, and managing various administrative tasks related to volunteer management and compliance.
Responsibilities:
- Assists with recruitment, training, and retention of volunteers. Schedules or assists with potential volunteer interviews and helps coordinates the new volunteer orientation. Additionally, assists with the ongoing management of volunteers
- Coordinates volunteer referrals and assignments as requested for all RCC Teams, Home Care Teams, Gilchrist Kids, We Honor Veterans, and all IPU’s. Facilitates communication between volunteers, staff and patient/families
- Performs continuous audits of both volunteer personnel and patient records to ensure compliance is appropriate, up to date, and robust
- Coordinates and trains clerical volunteers to ensure the appropriateness of the job responsibility
- Manages and audits volunteers within the Volgistics database program
- Maintain compliance data and accurate record keeping for the regulatory
- 5% Requirement of all volunteer hours
- Manage, perform and/or assist with annual supervisory visits with volunteers
- Provides administrative support to the volunteer recognition

- Provides administrative support to Manager of Volunteer Services
- Maintains compliance with patient EMR as related to volunteer assignments and documentation
- Assist in coordinating all volunteer support programs such as; twice annually ½ day volunteer retreat. And other educational events to ensure volunteers meet
- Their annual in-service requirement
- Assist in coordinating with manager and colleagues new and innovative programs
- For appropriate use of volunteers to enhance what Gilchrist Services provides
Required Qualifications:
- Bachelor's degree or equivalent experience
- Requires 1 to 3 years in an administrative role
- Skill in oral and written communication
- Skill in effective problem-solving; ability to manage projects; skill in exercising initiative, develop and maintain collaborative relationships, and balancing multiple priorities while being flexible to react to changing needs
- Interpersonal skills necessary in order to communicate effectively and courteously with a diverse group of internal and external callers and visitors. Ability to maintain a pleasant, customer-centered demeanor and professional image under a variety of challenging situations
- Ability to organize, manage and direct work flow of work staff
- Skill in using computer applications applicable to the department as well as database, spreadsheet and word processing tools
- General knowledge of data analysis and interpretation
- Analytical skills to interpret and communicate policies and procedures, and to identify and initiate appropriate corrective action to resolve problems
- Able to work a flexible schedule, including evenings and weekends
Preferred Qualifications:
- Supervisory experience preferred
