Job Description
I. Job Summary
The Accounting Staff will be responsible for maintaining accurate financial records, monitoring farm-related transactions, and supporting the farm management team in ensuring compliance with accounting standards and agricultural business practices. This role plays a key part in tracking costs, revenues, and profitability of farm operations.
II. KEY Responsibilities
1. Accounts Receivable (AR)
- Record and monitor sales of farm products (crops, livestock, piggery, etc.) in the accounting system.
- Issue invoices to buyers, distributors, and other customers. Match invoices with delivery receipts to ensure completeness and accuracy.
- Maintain customer profiles including credit terms, payment schedules, and contact details. Monitor customer credit limits and assess risks before approving new sales.
- Record payments received, apply them to the correct accounts, and follow up on overdue balances.
- Reconcile customer accounts and maintain accurate AR ledgers.
- Prepare AR aging reports for management review. Prepare weekly/monthly aging schedules to highlight overdue accounts. Provide insights into customer buying patterns and seasonal revenue trends.
- Regularly reconcile AR balances with the general ledger to ensure accuracy.
- Investigate and resolve discrepancies between invoices, payments, and customer claims.
- Ensure sales transactions are properly documented for VAT or other local tax filings.
2. Accounts Payable (AP)
- Process supplier invoices for farm inputs (fertilizers, seeds, feed, veterinary services, equipment, etc). Match supplier invoices with purchase orders and delivery receipts
- Verify accuracy of billing against purchase orders and delivery receipts. Ensure billing aligns with agreed terms, discounts, and delivery schedules.
- Schedule and process payments to vendors, contractors, and service providers. Organize due dates to avoid late fees while optimizing cash flow. Process payments via checks.
- Assign costs to the correct farm operation accounts (e.g., crop production, livestock, maintenance).
- Record all payables accurately in the accounting system.
- Regularly reconcile supplier balances with farm records to detect discrepancies.
- Implement approval workflows for purchases and payments to prevent fraud or unauthorized spending.
- Prepare schedules showing outstanding payables by due date.
- Forecast upcoming outflows to support farm budgeting and liquidity management.
- Provide insights into cost trends (e.g., rising feed prices, seasonal fertilizer costs).
- Ensure proper documentation for VAT, withholding taxes, or other local mandatory requirements.
- Provide invoices, receipts, and payment records during internal or external audits.
- Maintain organized files for regulatory and management review.
3. General Ledger (GL)
- Record all financial transactions into the farm’s accounting system.
- Maintain chart of accounts specific to farm operations (e.g., crop production, livestock, machinery). Ensure accounts are structured to reflect farm operations.
- Prepare monthly journal entries (depreciation, accruals, adjustments). Assign transactions to the correct accounts for precise reporting.
- Reconcile bank accounts and cash balances. Match farm bank statements with GL balances to detect discrepancies.
- Maintain a master list of all fixed assets (land, machinery, vehicles, buildings, irrigation systems, etc.) Record purchase date, supplier, invoice number, cost, and funding source.
- Generate financial statements (income statement, balance sheet, cash flow) for farm management.
- Compare actual results with budgets/forecasts to highlight cost overruns or revenue shortfalls.
- Ensure GL entries comply with local GAAP/IFRS and agricultural accounting practices.
- Verify consistency between AR, AP, inventory, and payroll sub-ledgers with the GL. Investigate and resolve mispostings or irregular entries.
- Ensure compliance with accounting standards and local tax regulations. Support preparation of tax filings by maintaining accurate records of taxable income and deductible expenses.
- Support audits and implement internal controls to safeguard farm assets. Provide documentation and reconciliations during internal or external audits.
- Ad Hoc Assignments. Carry out special projects or tasks assigned by farm management
III. MINIMUM JOB SPECIFICATIONS
- Bachelor’s degree in Accounting, Finance, or related field.
- At least 2-3 years experience in accounting related works.
- Ability to manage teams, enforce discipline, and implement SOPs effectively.
- Excellent problem-solving, decision-making, and communication skills.
IV. Related Skills
- Knowledge of farm operations or agribusiness accounting is an advantage
- Strong attention to detail and organizational skills
- Proficiency in accounting software (e.g., AX Dynamics, Microsoft D365)
- Ability to work closely with farm managers and operations staff
