Assistant Clinic Manager - Aesthetic Clinic

Location: San Francisco, California

Assistant Clinic Manager, Med Spa
Serenity Aesthetics & Wellness | Union Square, San Francisco, CA

About Us
Serenity Aesthetics & Wellness is a premier boutique medical spa in the San Francisco Bay Area. We deliver exceptional medical aesthetic services in a welcoming, luxurious setting, and we hold ourselves to the highest standards of care and client experience. As part of a growing network of aesthetic clinics, we offer the personal feel of a boutique practice with the support and resources of a larger organization.

Position Overview
We’re looking for an experienced med spa leader to partner with our Practice Manager and help run the clinic day to day. This is a split role. You’ll own key back-office operations (inventory, reporting, scheduling, payroll support) and you’ll also be on the floor, supporting the front desk team, guiding patient consultations, and closing treatment plans and retail sales.

The right person brings steady, professional leadership. They can keep a busy front desk on track, partner effectively with providers, step into a patient handoff without missing a beat, and lead the clinic when the Practice Manager is focused elsewhere. If you’ve grown up in a high-volume aesthetics chain and are ready for a more boutique environment where you have real ownership, we’d love to talk.

Responsibilities

Clinic Leadership & Team Support

• Serve as a second leader in the clinic alongside the Practice Manager, setting the tone for professionalism and accountability
• Oversee front desk operations, holding the team to standards for patient experience, scheduling accuracy, and follow-through
• Partner with providers on daily flow, room utilization, and patient handoffs
• Lead the clinic in the Practice Manager’s absence

Sales & Patient Experience

• Conduct patient consultations and handoffs from providers, building treatment plans and packages that fit each patient’s goals
• Drive retail and skincare sales, memberships, and package conversions
• Hit individual and clinic revenue targets
• Coach front desk staff on consultative selling, rebooking, and patient follow-up

Inventory & Ordering

• Track inventory for medical supplies, injectables, skincare, and retail
• Place, track, and reconcile vendor orders; resolve discrepancies and backorders
• Maintain vendor relationships and monitor pricing and terms
• Manage par levels to prevent stockouts and reduce expired inventory

Reporting & Analytics

• Build and maintain reports on revenue, provider performance, room utilization, and retail sales
• Pull and organize data from scheduling/POS systems into clear formats
• Track operational and sales KPIs and flag trends to the Practice Manager

Scheduling, Payroll & HR Support

• Build and maintain provider and front desk schedules; manage time off and coverage
• Review payroll entries (hours, commissions, adjustments) for accuracy
• Support onboarding, personnel files, and tracking of licensing and certification renewals

General Operations

• Maintain clinic supplies, equipment, and non-clinical vendor contracts
• Coordinate facilities, repairs, and vendor visits
• Support the Practice Manager on special projects

Qualifications

• 3–5+ years in a med spa, aesthetics, or dermatology setting, with experience in a lead, supervisory, or management role (e.g., Lead PCC, Location Director, Assistant Manager, Clinic Coordinator)
• Proven track record hitting sales targets through consultative selling of treatments, packages, and retail
• Experience leading a front desk team and holding it accountable
• Strong command of Excel/Google Sheets and comfort building reports from raw data
• Experience with staff scheduling and payroll support
• Sound judgment, discretion with confidential business and personnel information, and a calm, professional presence with patients and staff
• Highly organized and able to switch between floor and back-office priorities throughout the day
• Zenoti experience is a plus

Schedule

• Onsite, full-time, Monday through Friday, standard business hours

What We Offer

• Base salary of $50,000–$80,000, plus tiered commission tied to clinic sales targets
• A boutique clinic environment with real ownership and visibility
• Growth opportunities within a growing multi-clinic organization
• Comprehensive training
• Health insurance, 401(k), PTO, and clinic treatment discounts
