Job Description
Supports the design, evolution, and scaling of Academic Program Development (APD) operations through effective use of work management platforms, data systems, and automation. This role focuses on enabling program and portfolio planning, execution, budgeting, and reporting by building and maintaining flexible, integrated solutions that align to APD workflows.
Acts as a bridge between operational needs and technical capabilities—translating business processes into scalable systems, automations, and data structures that improve visibility, coordination, and decision-making across the program lifecycle.
Partners closely with APD leaders and cross-functional stakeholders to continuously improve how work is planned, tracked, and delivered, ensuring data integrity, usability, and long-term sustainability of solutions.
Primary Responsibilities
Configures and integrates work management, planning, and reporting solutions that support APD program and portfolio delivery at scale.
Builds and maintains integrations, automations, and data workflows that connect key systems and enable the efficient, accurate flow of information across planning, budgeting, and execution processes.
Partners with APD stakeholders to understand operational needs and translate them into practical, scalable solutions that improve visibility, coordination, and decision-making.
Develops and maintains data structures, reporting frameworks, and dashboards that support program health, capacity planning, financial tracking, and performance insights.
Collaborates with partners as needed to align systems and ensure sustainable, well-integrated solutions—while maintaining the agility and access required by APD.
Provides ongoing support for tools and solutions, including troubleshooting, enhancements, and user guidance.
Ensures consistency, accuracy, and usability of program and portfolio data, establishing standards and guardrails that support reliable reporting and analysis.
Supports continuous improvement of APD operational workflows, identifying opportunities to streamline processes, reduce manual effort, and enhance user experience.
Ensures data is protected from unauthorized access and data corruption.
Documents systems, workflows, and standards to support scalability, knowledge sharing, and long-term maintainability.
Contributes to building internal capability in effective use of work management platforms, data, and automation within APD.
Philosophically aligned with "configuration minimalism" and "lean system design.".

Qualifications
Knowledge, Skills, and Abilities
Experience designing and supporting operational systems for planning, tracking, and reporting work at a program or portfolio level.
Experience with or transferable knowledge of Smartsheet, Coda, Service Now, Salesforce, and other work management & operational platforms.
Strong ability to translate business processes into scalable system solutions, including data structures, workflows, and automations.
Working knowledge of integrations, APIs, and data exchange concepts (e.g., connecting systems, automating workflows, structuring data for interoperability).
Experience with scripting or low-code/no-code automation approaches to support data processing and system integration.
Understanding of data management principles, including data integrity, governance, and basic security practices.
Strong analytical and problem-solving skills, with the ability to design practical solutions in complex, evolving environments.
Ability to work cross-functionally and communicate effectively with both technical and non-technical stakeholders.
Comfort operating in environments with ambiguity, rapid iteration, and evolving priorities.
Strong attention to detail and commitment to accuracy, especially in systems supporting planning, budgeting, and reporting.
Minimum Requirements
Bachelor’s degree in computer science, Information Systems, or related field (or equivalent experience)
5+ years of experience in systems integration, automation, or platform development across multiple tools/environments
Experience working with enterprise or work management platforms (e.g., Smartsheet, ServiceNow, Jira, Salesforce, or similar)
Strong understanding of APIs, data integration, and automation workflows (low-code/no-code and/or scripting)
Ability to design and maintain data structures, reporting, and scalable operational systems
Proven ability to translate business needs into technical solutions and collaborate with cross-functional stakeholders
Preferred Qualifications
Smartsheet Certification (or deep hands-on experience given current-state dependency)
3+ years of scripting experience (e.g., Python) for automation and integrations
Experience with ServiceNow (platform usage, integrations, or certification)
Familiarity with Agile/SAFe methodologies in a cross-functional environment
Experience integrating across multiple platforms (e.g., Smartsheet, Jira, Trello, Coda, Salesforce) within a single ecosystem
Strong track record of building scalable, low-maintenance systems with a focus on simplicity and sustainability (not over-engineering)
This position requires occasional travel of up to 20%, including required attendance at designated company summits (typically one to two per year). Additional travel may include conferences, visits to company locations, and other business-related events as needed. Additional travel may be assigned as needed to support business requirements.
Position & Application Details
