The opportunity:
Reporting to the lead advisor, the Associate will participate in a broad range of administrative and operational projects and tasks to support the efficient and successful operations of the team. The Associate will act as a resource person for the team, and will do so by completing administrative tasks, reporting, and account-related activities. The Associate will liaise between clients and advisors to coordinate requests, communications and follow-ups.
Key responsibilities include:
• Provide administrative, operational, and client service support to the advisory team.
• Act as a point of contact for client inquiries, ensuring timely and professional responses.
• Support client documentation, account administration, and onboarding activities.
• Maintain and update CRM systems and client records, ensuring accuracy and compliance.
• Assist advisors with client engagement, follow-ups, and relationship management activities.
• Track client interactions, referrals, and opportunities within CRM systems.
• Coordinate meetings, scheduling, and team communications.
• Prepare reports, client materials, and documentation (e.g., forms, statements, DocuSign packages).
• Ensure all client documentation and files are maintained in line with regulatory requirements.
• Proactively monitor and follow up on outstanding tasks, client requests, and action items.
• Assist with process improvements and documentation of procedures.
• Collaborate with team members across locations (Sunshine Coast, White Rock, Vancouver).
• Provide general office support and act as a reliable, go-to team resource.

The ideal candidate will possess:
• A bachelor’s degree in business administration, accounting, finance or related field, or equivalent work experience.
• 2 – 4 years’ financial services industry experience working in a high growth environment.
• 2- 4 years’ experience in a customer/client-service facing role.
• Equivalent combination of education and experience may be considered.
• Proficiency with the MSOffice suite, including Word, Excel, PowerPoint, Teams, and Outlook.
• Experience working with Croesus and Salesforce is considered an asset.
• High level of accountability, reliability, and attention to detail.
• Ability to work independently, take initiative, and manage priorities.
• Strong organizational and time management skills.
• Excellent communication and interpersonal skills, with a focus on client service.
• Demonstrated ability to solve problems and think critically.
• Adaptable and comfortable working in a fast-paced, evolving environment.
• Professional, with a high level of integrity and confidentiality.
• Positive attitude and commitment to delivering a high-quality client experience.

Compensation & Benefits:
Range $50,000 - $70,000 annually.
This range represents Wellington-Altus' expected range of compensation for this position. Actual compensation will vary and will be based on various factors, such as location, skills, experience, and qualification for the role. Compensation for part-time roles will be pro-rated based on number of hours regularly worked.
Wellington-Altus' total compensation package for employees may also include discretionary bonuses as well as other perks and rewards. Wellington-Altus also offers health insurance, accident and life insurance, and other unique benefits per location.
