Real Estate School Administrator
Weichert Co. is hiring a Real Estate School Administrator in Morris Plains, NJ. This is a Hybrid role. The Real Estate School Administrator is responsible for overseeing the daily administrative and operational functions of the Weichert Real Estate School. Under the direction of management, this role handles course-related inquiries and enrollment. The position coordinates the full lifecycle of class delivery, including instructor and student notifications, classroom and virtual setup, material distribution, and course conclusion processes. The Administrator supports effective communication and promotion of course offerings through email and social platforms, as well as handles functions related to the website and Shopify updates and reporting.
Essential Duties and Responsibilities
Customer Service
- Answers routine questions related to licensing, enrollment and tuition via phone and email.
- Handles student transactions including enrollment, schedules transfers, and refunds using Shopify.
- Resolves student issues to achieve customer satisfaction within school policy catalog compliance boundaries.
- Manages the processes related to student grievances and/or issues. Escalates more difficult issues to management.
- Prepares routine student communications regarding class schedules, course completion, retests and next steps.
- Schedules student make-up sessions when necessary.
Administration
- Handles routine instructor communication pertaining to class/students, as well as enrollment updates.
- Monitors and evaluates weekly enrollment and partners with Real Estate School Manager.
- Responsible for fulfilling the class operational plans for Weichert Real Estate School each week including insurance of timely textbook delivery, student communications (Welcome emails), emailing instructor materials, class rosters to instructors prior to the start of class, preparation of Zoom links, and creation of online exams.
- Responsible for the preparation and distribution of the course transcripts and certificates for successful completion of the real estate courses as needed.
- Under direction, makes any required updates or changes to student materials, tests, information packets and student communications.
- Assists school management in preparing necessary paperwork for school location, curriculum, and instructor licensing renewals.
- Assists in preparing source materials for monthly reports for management, Talent Sourcing Department, as well as assisting the Real Estate School Manager with mandatory state reporting.
- Performs other duties as assigned.
Minimum Qualifications
Education, Certification, and License Requirements
- High school diploma or GED
- Bachelor’s degree preferred
- Real estate license preferred
Experience
- Preferably two (2) or more years of experience in training, customer service, or real estate function
- Extensive experience with Microsoft Office and Zoom
Knowledge, Skills, and Abilities
- Proficiency in Microsoft Office suite of products
- Proficiency in Zoom and Zoom Apps
- Ability to generate reports and spreadsheets in Excel
- Strong oral and written communications skills
- Ability to handle difficult situations arising from students, instructors, and sales management
- Ability to multitask in a fast-paced environment
- Basic math skills including addition, subtraction, multiplication, division, percentages, and fractions
- Knowledge and ability to use typical office equipment (PC, calculator, fax machine, copy machine, scanner, etc.)
The estimated annual rate for this position is $40,000. The rate of pay is dependent upon several factors including the candidate's relevant skills, education, work experience, job location/geographic region, and/or certifications.
