Job Description
Summary: Vattenfall is dedicated to empowering individuals on their journey to recovery through REACH Health Services. They are seeking an Office Assistant to manage administrative tasks, coordinate clinic workflow, and support patient interactions at the clinic.
Responsibilities:
- Greets and checks in patients at the 4th floor clinic; maintains sign-in sheets and assists in coordinating clinic workflow and communication
- Performs daily administrative tasks including patient scheduling, managing provider schedules, preparing intake and registration materials, verifying insurance, and requesting medical records
- Creates and maintains accurate patient records in both electronic (Methasoft) and paper formats; ensures proper documentation and compliance with privacy regulations (HIPAA, 42 CFR Part 2)
- Monitors and maintains reception and public areas; reports safety/security concerns and provides support in the IBR/REACH main lobby as needed
- Handles incoming calls and messages; routes communication appropriately to staff or providers
- Supports clinic operations through participation in staff meetings and ongoing compliance with organizational policies, procedures, and ethical standards
Required Qualifications:
- Ability to work independently with initiative and minimal supervision, seeking assistance as needed
- Ability to work in a collaborative environment, while handing sensitive information in a confidential manner
- Ability to handle multiple tasks and work well under pressure, knowing how to prioritize tasks
- Strong organizational and planning skills with attention to detail and problem solving skills
- Proficient with computers (Microsoft programs) and other office equipment
- Knowledge of EMR systems (Methasoft preferred)
- Basic knowledge of insurance systems including verifications and authorizations
- Ability to recognize when a patient is in distress and needs additional support via appropriate treatment personnel
- Proficient knowledge of computer systems including Word, Excel, Teams, Outlook, and ability to learn new programs, as needed
- Ability to work with a culturally diverse population, embracing the DEIB initiatives of IBR/REACH
- Ability to work in a highly collaborative environment, while managing multiple high priority issues simultaneously
- Ability to pass all pre-employments requirements including but not limited to a criminal background check and drug screen
- High School diploma or equivalent
- One+ years previous experience in an administrative support role, preferably in a healthcare environment
