Job Description
Summary: UNDP is the lead United Nations agency on international development, working in 170 countries to eradicate poverty and reduce inequality. The Digital Transformation & Knowledge Management Intern will assist in optimizing teamwork processes and collaboration methods, leveraging AI and automation tools to enhance research, stakeholder engagement, and project management.
Responsibilities:
- Create a simple dashboard for team operations (e.g., workload, deadlines, pipeline status, press-review themes) using Excel/Lists/Power BI as appropriate
- Develop standard templates and prompts for recurring outputs (briefing notes, email drafts, meeting readouts, stakeholder updates, weekly press reviews, data collection for annual reports) to improve consistency and speed
- Optimize the team knowledge repository (MS Teams / SharePoint structure) to prepare it for AI, ensuring that briefing note writing is efficient and that knowledge products and resources remain well-organized, accessible, and current
- Automate meeting support: agenda setting, data insights, pre-reads compilation, action-item capture, and post-meeting summaries routed to the right channels
- Map and prioritize other automation opportunities by documenting key team workflows (intake, drafting, reviews, approvals, reporting) and proposing a backlog ranked by impact/effort
- Monitor and report automation benefits (time saved, turnaround times, usage/adoption metrics) and recommend iterative improvements
- Ensure compliance and responsible use by incorporating basic data protection/confidentiality guidance into automation and AI-assisted processes
- Coordinate with IT/digital focal points to align solutions with available licenses, security constraints, and approved tools
- Train and onboard colleagues on new workflows via short guides, “how-to” videos/slides, and office hours to support adoption
- Assist in the preparation of briefing notes and the development of presentations on workplace digital transformation for senior leadership
Required Qualifications:
- Be enrolled in a postgraduate degree programme (such as a master's programme, or higher)
- Be enrolled in the final academic year of a first university degree programme (such as bachelor's degree or equivalent)
- Have recently graduated with a university degree (as defined in (a) and (b) above) and, if selected, must start the internship within one-year of graduation
- Be enrolled in a postgraduate professional traineeship program and undertake the internship as part of this program
- Field of study required: economics, finance, business administration, information management, knowledge management, data science/analytics, information systems, computer science, or any related field
- 1 year of relevant experience in research/analytics, knowledge management, or process improvement/automation, gained through coursework, academic research, internships, and/or project work is required
- Proficiency in the use of Microsoft Office Suite (especially Power Automate; Power Apps as an asset) of products is required
- Fluency in written and spoken English is required
Preferred Qualifications:
- Experience (through projects, internships, or university coursework) designing and improving procedures and workflows using digital tools and/or AI-assisted methods is highly desired
- Familiarity with basic data governance concepts (e.g., access control, versioning, information management practices) through coursework and/or professional experience is an asset
- Ability to document and map processes and information architecture using diagrams (e.g., Visio, Miro, or equivalent tools) is an asset
- Familiarity with data visualization tools (e.g., Power BI, Tableau, R, etc.) is an asset
- Basic scripting or querying skills (e.g., Python or R; SQL as an asset) to support data handling and workflow automation is an asset
