Job Description
Summary: Toyota Research Institute (TRI) is dedicated to improving the quality of human life through innovative tools and capabilities. As a People Coordinator, you will support the People Team in managing HR processes, ensuring compliance, and enhancing employee experience within a mission-driven, research-oriented organization.
Responsibilities:
- Maintain accurate and audit-ready employee records and HR documentation across all systems (including HRIS), ensuring compliance with I-9, immigration, and recordkeeping requirements
- Support compliance initiatives, including labor law postings, policy updates, audits, reporting, and coordination with Facilities to meet regulatory standards at HQ and Cambridge
- Manage end-to-end onboarding for employees, including orientation coordination, I-9 verification, system setup, and benefits enrollment
- Oversee contractor, intern, and research fellow lifecycle processes, including onboarding, offboarding, end-date monitoring, renewals, and compliant documentation
- Coordinate operational logistics such as IT and Facilities support requests, meeting and event setup, lease-car arrangements, and physical mail distribution
- Maintain shared HR resources, guides, documentation libraries, and the organizational chart to ensure accuracy and accessibility
- Support employee engagement initiatives, company events, open enrollment, and wellness programs while responding to employee inquiries via HR communication channels
- Partner with Payroll to ensure timely processing by following up on outstanding timesheets and related documentation
- Contribute to cross-functional and ad hoc People Team projects as needed
Required Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent experience
- 1–3 years of experience providing HR administrative support
- Strong organizational skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Working knowledge of Google Workspace and Microsoft Office
- Ability to handle sensitive information with professionalism and maintain confidentiality
- Proven ability to manage multiple tasks with accuracy and efficiency
Preferred Qualifications:
- Experience navigating and utilizing Workday systems is a plus
- Knowledge of background check review processes and employment screening procedures
