Job Summary
We are seeking a highly organized and proactive Office Manager specializing in Accounting to oversee the administrative and financial operations within our organization. Responsibilities
- Manage daily office operations, including front desk duties, filing, and calendar management to ensure seamless workflow.
- Oversee bookkeeping activities, including maintaining accurate financial records using accounting software such as QuickBooks or similar platforms.
- Supervise accounting functions related to payroll processing, budgeting, and financial reporting.
- Coordinate with vendors for procurement, service agreements, and invoice processing while maintaining strong vendor relationships.
- Handle human resources tasks such as onboarding, training & development, and maintaining confidential personnel information.
- Organize and plan company events, meetings, and training sessions to foster team engagement.
- Manage schedule coordination for executives and staff, ensuring timely appointments and deadlines.
- Oversee office supplies inventory and manage vendor contracts to optimize operational costs.
- Ensure compliance with company policies regarding confidentiality, data security, and legal requirements.
- Provide exceptional customer service by addressing client inquiries professionally via phone or email.
- Utilize Microsoft Office tools and spreadsheets for data analysis, reporting, and record keeping.
- Maintain accurate records of financial transactions, including bookkeeping entries and account reconciliations.
- Support office management initiatives that improve efficiency and productivity across departments.
Experience
- Minimum of three years’ experience in office management with a focus on accounting or finance functions.
- Demonstrated supervisory experience overseeing administrative staff or teams.
- Proficiency in accounting software such as QuickBooks or equivalent financial software.
- Strong background in bookkeeping, payroll administration, budgeting, and financial reporting.
- Experience with vendor management, contract negotiations, and procurement processes.
- Familiarity with human resources practices including onboarding, training, and confidentiality handling.
- Excellent organizational skills with the ability to manage multiple priorities effectively.
- Proven communication skills suitable for client interaction and team collaboration.
- Technical proficiency in Microsoft Office Suite—particularly Excel spreadsheets—and general office equipment.
- Prior experience managing medical or specialized office environments is advantageous but not required.
- Ability to handle confidential information discreetly while maintaining professionalism at all times.
