Administrative Services Coordinator II
Location: Cookeville, TN, United States
Description of Job Duty:
Serve as the departmental administrative assistant. Perform a wide variety of clerical duties which could be confidential in nature. Maintain departmental student files. Assist director, faculty, and advisors with a variety of student-related academic matters. Maintain departmental fiscal records and prepare various university forms associated with this responsibility. Function as the main point of contact between the School of Interdisciplinary Studies and other academic departments and off-campus programs. Maintain and update the SOIS website. Other duties as assigned.

Essential Functions:
Serve as the departmental receptionist/secretary. Support the director in daily administrative activities. Point of contact for on and off campus programs. Assist director, faculty, and advisors with a variety of student-related academic matters, issuing of enrollment permits, drop-add slips and course substitutions. Inputs classes into Coursedog and schedules classrooms. Maintain departmental fiscal records, process university requisitions for invoices and travel claims, prepare personnel and financial components and contracts, and reconcile monthly expenditures. Assist students with registration. Handle office correspondence and perform a wide variety of clerical duties which could be confidential in nature. Technology assistance with websites, social media, faculty assistance. Maintain departmental student files, faculty academic and employment files. Supervise student workers in the accomplishment of the above tasks and office-related assignments. Serve as the central point of contact with off-campus sites and related off-campus staff.

Work Hours:
Typical hours are 8:00 am - 4:30 pm.

Salary:
Level S2, Grade 6.

Minimum Qualifications:
High school diploma or equivalent. Two years of general office experience. Working proficiency with software such as Microsoft Outlook, Word and Excel. Ability to work with minimum supervision. Ability to work in a fast-paced and flexible environment. Ability to effectively supervise student workers.
Preferred Qualifications:
Bachelor’s degree from an accredited institution. Prior experience in an academic environment with basic accounting skills. Experience with Talon (Oracle) and Coursedog.
