SWN CO PTY LTD
Sales & Operations Coordinator… at SWN CO PTY LTD · Home Based
Job Description
Remote | Full-time | Australian Education Company
About Us
- We are a fast-growing Australian education company focused on delivering high-quality products and services to medical professionals.
- You'll work alongside our Australian leadership and remote team of independent contractors, supporting customer enquiries, sales and day-to-day operations.
- We are scaling quickly, so the business is constantly evolving. New projects come up, priorities change, and our systems and processes regularly improve.
- We move fast, use technology and AI heavily, and are always looking for better ways to work.
- If you like a predictable role where every day looks the same, this probably isn't the right fit. If you enjoy speaking with people, solving problems, learning quickly and building better ways of doing things, you'll likely enjoy working here.
Role
- We're hiring a Sales & Operations Coordinator to help manage customer phone enquiries, convert interested leads into sales, and keep projects and day-to-day operations moving.
- This is a combined role involving phone-based sales, customer support and operations coordination.
- You'll speak directly with medical professionals, understand their needs, answer questions, explain our products and services, and confidently guide conversations towards a sale when appropriate.
- We're looking for someone who knows how to build rapport, handle objections and keep conversations moving naturally without being overly pushy.
- Alongside sales and customer support, you'll work directly with our operations lead to coordinate projects, track deadlines, follow up with team members and ensure tasks are completed.
- This is not a traditional Virtual Assistant or purely administrative role.
- You won't always be given step-by-step instructions. There will often be things we have never done before or don't have a system or process for yet. Sometimes, we may not know much about the problem ourselves.
- We don't expect you to know everything. We expect you to be able to use AI, research and your own judgement to find answers, verify information, make sense of it and recommend the next step.
- Your job is to take ownership, communicate confidently, work out the next steps and see things through to completion.
Responsibilities
Phone Sales & Customer Support
- Answer incoming calls from prospective and existing customers.
- Make outbound calls to interested leads and follow up on sales opportunities.
- Build rapport, understand customer needs and recommend suitable products or services.
- Explain product features, packages, pricing and available options clearly.
- Handle questions, objections and hesitation confidently and professionally.
- Guide interested customers towards making a purchase without being overly pushy.
- Follow up with potential customers and maintain accurate records of conversations.
- Identify opportunities to improve customer communication and sales conversions.
- Resolve customer enquiries and escalate issues when necessary.
Operations & Project Coordination
- Coordinate projects and operational tasks from start to finish.
- Track actions, deadlines and follow-ups across team members.
- Follow up proactively to ensure tasks are progressing and completed.
- Research, verify and summarise information.
- Contact Australian organisations, external providers and potential business partners.
- Prepare reports, trackers and spreadsheets.
- Coordinate website, software and system updates.
- Update SOPs, forms and internal documents.
- Identify problems early and recommend practical solutions.
- Find ways to make our systems and processes simpler and more efficient.
Who This Is For
- You have previous experience handling sales conversations over the phone, not just through email or chat.
- You are confident asking questions, handling objections and guiding conversations towards a sale.
- You have excellent spoken and written English, with clear pronunciation, natural conversational fluency and strong listening skills.
- You communicate clearly and confidently with Australian customers, building rapport and explaining information without frequent repetition or clarification.
- You are professional, friendly and approachable when speaking with customers, including medical professionals.
- You are highly organised and dependable.
- You take ownership and don't need to be chased.
- You are comfortable solving problems independently.
- You can balance customer-facing responsibilities with administrative and operational work.
- You adapt quickly when priorities or processes change.
- You are open about mistakes and raise problems early.
- You take feedback well and use it to improve.
- You are confident with spreadsheets, CRM systems and digital tools.
We are particularly interested in someone who combines strong phone communication and sales skills with excellent organisational ability.
AI
- AI is a normal part of how we work.
- You should already be comfortable using tools such as Claude and ChatGPT to research, solve problems, analyse information and improve your work.
- You may also use AI to review customer conversations, identify sales opportunities, improve workflows and approach unfamiliar tasks.
- However, AI should support your judgement, not replace it.
- You should know how to check AI's work, identify mistakes and verify important information yourself.
- We value people who can use AI intelligently while still thinking independently and communicating naturally.
- With your application, include the word "Dependable" at the beginning of your answer to Question 1.
Work Arrangement
- This is a full-time, fully remote position offered on an independent contractor basis, not as an employee.
- You must be comfortable working as an independent contractor and managing your own tax and other obligations applicable to your location.
- We are looking for someone who can commit fully to the role and provide consistent availability during agreed working hours.
- Working hours and phone coverage will be agreed based on business needs, including availability to speak with Australian customers.
- Additional hours and responsibilities may be available by mutual agreement.
- You must have a reliable internet connection, a quiet environment suitable for professional phone calls and appropriate working equipment.
Experience
Required
- Previous experience in phone-based sales, customer acquisition or a customer-facing role involving sales conversations.
- Experience handling customer enquiries, objections and follow-ups.
- Excellent spoken and written English.
- Strong organisational skills and confidence with digital systems.
Preferred
- Experience in operations, project coordination or executive support.
- Experience using CRM systems, particularly GoHighLevel or similar platforms.
- Experience communicating with Australian customers or medical professionals.
- Experience in education, healthcare, professional services or other customer-focused industries.
Healthcare or education industry experience is helpful but not required. Strong candidates from other industries are encouraged to apply.
Results
- Customer calls are answered professionally and enquiries receive timely follow-up.
- Interested leads are actively engaged and guided towards suitable products or services.
- Sales opportunities aren't lost through poor communication or missed follow-ups.
- Customers feel supported and confident in their interactions with our business.
- Projects and follow-ups don't get forgotten.
- Deadlines are tracked and met.
- Problems are raised early.
- Your work is accurate and reliable.
- Processes become simpler and more efficient.
- If something is given to you, the operations lead can trust that it is being handled.
