Payroll Administrator
Department: Finance
FLSA: Non-Exempt
Location: Florida
Position Overview
We are seeking an experienced Payroll Administrator to manage bi-weekly payroll, employee records, timekeeping, payroll reporting, benefits reconciliation, and payroll-related compliance. This role requires strong attention to detail, confidentiality, and the ability to handle multiple priorities in a fast-paced environment.
Key Responsibilities
- Process and coordinate bi-weekly payroll, including wages, overtime, accruals, retro pay, deductions, and final payouts.
- Manage electronic timekeeping and payroll/HRIS systems, including user access, audits, updates, and training.
- Process direct deposits, taxes, pensions, garnishments, child support, and other employee deductions.
- Reconcile payroll, benefits, accruals, pension, insurance, and workers’ compensation records.
- Prepare quarterly and year-end payroll reports, including 941s, W-2s, unemployment tax reports, and related filings.
- Review payroll changes, employee information, and wage updates for accuracy.
- Research and resolve employee questions related to pay, taxes, deductions, and benefits.
- Maintain accurate and confidential payroll records and documentation.
- Ensure payroll practices comply with Florida regulations, IRS requirements, company policies, and applicable agreements.
- Assist with payroll system upgrades, testing, automation, and process improvements.
- Prepare payroll-related reports and support audits, grants, and special projects.
Requirements
- Associate’s degree in Accounting, Business Administration, Finance, or related field.
- 4+ years of payroll, governmental accounting, or closely related experience.
- Proficiency with Microsoft Office, especially Excel.
- Experience with MUNIS HR/Payroll and Executime is preferred.
- Strong analytical, organizational, and problem-solving skills.
- Ability to maintain confidentiality and work effectively under deadlines.
- Valid Florida Class E Driver’s License.
