Job Description
Summary: Skyward Construction Group LLC is a fast-paced construction firm seeking a proactive and organized Executive Assistant / Office Manager to support senior leadership. The role involves managing executives' calendars, coordinating communications, and assisting with project and office operations.
Responsibilities:
- Manage calendars for executives, coordinating complex logistics across multiple projects (site meetings, client interviews, subcontractor coordination, travel, and accommodations)
- Screen emails/voicemails; triage and respond on behalf of the executive when appropriate
- Prepare for board meetings and off-site events; assist with board materials, RFPs, and follow-ups
- Coordinate internal and external communications, including conflict resolution and prioritization of requests from field teams, estimators, and finance
- Maintain strict confidentiality around project bids, contracts, and financials; handle sensitive information discreetly
- Maintain a well-organized, safety-conscious office environment
- Support bid/proposal activities: organize preconstruction documents, vendor lists, and submittal packages
- Assist with HR-related tasks for field staff (onboarding/offboarding, certifications, safety trainings) and maintain personnel records
- Coordinate with project managers to monitor milestones, deliverables, and risk registers
- Serve as a primary point of contact between executives, field teams, clients, subcontractors, and vendors
- Draft internal communications, project updates, safety bulletins, and meeting summaries
Required Qualifications:
- 1-3 years of experience in executive support, office management, or construction administration; construction industry experience strongly preferred
- Strong organizational skills with high attention to detail; ability to multitask across multiple projects and deadlines
- Excellent written and verbal communication; professional, diplomatic, and discreet demeanor
- Experience with travel planning, on-site coordination, event planning, and expense management
- Basic financial acumen (invoicing, budget tracking, change orders) and familiarity with job costing concepts
- Ability to anticipate needs, solve problems, and act with initiative in a field-heavy environment
