Job Description
Summary: Securitas Security Services USA, Inc. is the global leader in protective services, delivering specialized guarding and comprehensive risk management. The Human Resource Administrator plays a key role in managing staff schedules and ensuring accurate payroll, working closely with HR and operations to support employee needs.
Responsibilities:
- Create and maintain employee schedules to meet client and operational needs
- Adjust schedules for call-offs, vacations, and last-minute changes
- Communicate schedule changes clearly and promptly to employees and supervisors
- Monitor attendance, tardiness, and no-shows and escalate issues as needed
- Coordinate with hiring/onboarding to add new employees to schedules
- Collect and verify hours worked from timekeeping systems and timesheets
- Ensure accurate calculation of regular hours, overtime, and premiums
- Prepare and submit payroll data within established deadlines
- Research and resolve payroll discrepancies and employee pay questions
- Maintain accurate records of payroll adjustments and approvals
- Serve as first point of contact for scheduling, timekeeping, and payroll inquiries
- Update employee information and status changes in HR and scheduling systems
- Help ensure compliance with labor laws, company policies, and client requirements
- Generate reports on overtime, open shifts, attendance, and payroll exceptions
- Support general office tasks such as answering phones and basic correspondence
Required Qualifications:
- Previous experience in scheduling, payroll, HR administration, or related office role preferred
- Basic understanding of timekeeping, payroll processes, and labor standards (overtime, breaks, etc.) is a plus
- Strong organizational and time-management skills with the ability to manage multiple deadlines
- High attention to detail and accuracy in data entry and recordkeeping
- Clear and professional written and verbal communication skills
- Ability to handle confidential information with discretion
- Proficiency with Microsoft Office (Excel, Word, Outlook) and comfort learning HR, scheduling, and payroll systems
- High school diploma or equivalent required; additional HR, payroll, or business coursework/certification is a plus
