Job Description
The Senior Manager, Finance & Accounting has overall responsibility for leading the Manila based Accounting and Accounts Payable teams. This includes responsibility for overseeing accounting and financial management activities, which includes support for the global accounting department as well as local accounting and reporting requirements. This position is also responsible for overseeing the global Accounts Payable team, which is based in Manila. The position is responsible for ensuring the Accounting and Accounts Payable teams understand business processes, that appropriate questions are raised and that all deliverables and payments are prepared in a consistent, accurate and timely manner.
POSITION SUMMARY: The Senior Manager, Finance & Accounting has overall responsibility for leading the Manila based Accounting and Accounts Payable teams. This includes responsibility for overseeing accounting and financial management activities, which includes support for the global accounting department as well as local accounting and reporting requirements. This position is also responsible for overseeing the global Accounts Payable team, which is based in Manila. The position is responsible for ensuring the Accounting and Accounts Payable teams understand business processes, that appropriate questions are raised and that all deliverables and payments are prepared in a consistent, accurate and timely manner.
Major Responsibilities:
Accounting and Financial Management Support Accountability for overseeing the team handling bank and various account reconciliations, fixed asset management, receipt of funds, vessel & operational accounting and intercompany accounting as well as local tax, government and regulatory filings. Furthermore, this position is accountable for:
• Approving certain key account reconciliations, including bank reconciliations, ensuring the reconciliations are prepared to a standardized format • Overseeing vessel operating expense reporting requirements to joint venture partners • Overseeing the timely and accurate preparation of prepaid expense accounting including amortization and preparation of appropriate schedules • Overseeing fixed-asset accounting including both on-shore assets and vessels • Reviewing and approving intercompany account reconciliations and settlements • Compiling, analyzing and reporting financial information to management and local government agencies, including statutory financial statements and various tax returns • Overseeing the Manila office trial balance • Overseeing office cash requirements, expenditures and funding requests • Any other tasks, accountabilities and projects as management deems appropriate
Accounts Payable
Accountability for overseeing the global Accounts Payable Team in Manila who are responsible for processing all operational, project, and overhead related expenditures as well as expense report processing. Furthermore, this position is accountable for:
• Overseeing, planning and coordinating the functions and flow of work in the Accounts Payable team • Analyzing Accounts Payable operations and identifying areas for improvements • Developing and implementing controls to increase accuracy and efficiency • Developing applicable analytical reports related to Accounts Payable for review by the Global accounting management team • Investigating and resolving tax issues with respect to purchase orders and invoices including next level escalation to relevant parties in the procure-to-pay process to ensure that invoice approval and processing issues are addressed in a timely manner • Ensuring that queries from vendors with respect to payment status and potential issues are addressed in a timely manner • Ensuring employee expense reports are processed accurately and in a timely manner
Risk, Control and Compliance • Accountable for ensuring full compliance with all global policies and procedures, particularly those relating to financial processes and controls • Ensure that process documentation is created and, when necessary, updated for identified critical processes • Prepare, update and review SOX Narratives in a timely manner • Oversee that process improvements aimed at improving efficiency are achieved • Point of contact for internal and external auditors
Other • Develop strong and effective teams that work as cohesive units to deliver the highest quality service to the wider global business • Work with local HR to ensure compliance with local policies and procedures • Establish strong working relationships with the other departments based in the Manila office • Provide ad hoc leadership support and direction to other Manila based employees, as and when required, in recognition of the fact that many line managers are remote from their direct reports and are based in different time zones • Coach, mentor and develop training plans for the Accounting and Accounts Payable teams in Manila and continuously explore opportunities for improving service levels • Manage employee performance and competence levels of staff and prepare performance appraisals
Knowledge, Skills • Business degree and professional accounting designation • Familiarity with US GAAP and SOX requirements • Management reporting background • High level of integrity, possesses good leadership values & workplace ethics • Exhibits personal and organizational sensitivity • Good management and organizational skills • A team player with strong business acumen • Experience in a similar role or in leading a large team
