Job Description
Payroll Management
- Manage end-to-end monthly payroll processing accurately.
- Collect and validate payroll inputs such as attendance, leave, overtime, incentives, reimbursements, arrears, and full and final settlements.
- Ensure timely salary processing and payroll reconciliation.
- Prepare payroll reports, salary registers, payslips, and MIS reports.
- Coordinate with the Finance team for salary transfer and payroll accounting.
Statutory Compliance
- Ensure compliance with labour laws and statutory requirements.
- Handle PF, ESIC, Professional Tax, Labour Welfare Fund, Bonus, Gratuity, and TDS activities.
- Prepare and submit monthly, quarterly, and annual statutory returns on time.
- Support statutory inspections, audits, notices, and compliance documentation.
- Maintain statutory registers and records as per legal requirements.
- Coordinate with government authorities when required.
PF & ESIC Grievance Handling/Ticket Resolving
- Resolve employee queries related to PF and ESIC.
- Handle PF transfer, withdrawal, UAN activation, KYC update, pension query, and claim processing.
- Support employees with ESIC registration, dispensary change, and benefit claims.
- Coordinate with EPFO and ESIC offices for timely grievance resolution.
Employee Support
- Respond to employee payroll queries promptly.
- Explain salary structure, statutory deductions, and payslip details.
- Ensure timely resolution of payroll and compliance issues.
Compliance & Documentation
- Maintain employee records and statutory documents.
- Prepare payroll and compliance MIS reports for management.
- Provide documents required for internal and external audits.
- Maintain confidentiality and accuracy of payroll and employee data.
Other Responsibilities
- Support employee onboarding and exit activities related to payroll and compliance.
- Coordinate with HR Operations and Finance teams for payroll activities.
- Stay updated on labour law and payroll compliance changes.
- Participate in payroll and compliance process improvement initiatives.
- Perform additional HR compliance responsibilities assigned by the reporting manager.
Timesheet & Attendance Management
- Maintain the monthly attendance tracker for all employees.
- Collect attendance data from internal teams and client locations.
- Obtain approved timesheets from Client Managers, Project Managers, and Business Heads before payroll cutoff.
- Verify attendance, leave, overtime, holidays, weekly offs, shift allowances, and regularization requests before payroll processing.
- Ensure timely submission and approval of timesheets to avoid payroll delays.
- Coordinate with HRBPs, Delivery Managers, and Client SPOCs to resolve attendance discrepancies.
- Monitor payroll cutoff timelines and follow up for pending attendance inputs.
- Maintain records of approved attendance and timesheets for audit and compliance purposes.
- Escalate delayed timesheet approvals to the concerned stakeholders.
- Prepare monthly attendance reconciliation and variance reports when required.
- Ensure compliance with company attendance policy and client timesheet requirements.
Required Skills
- Good knowledge of end-to-end payroll processing.
- Knowledge of PF, ESIC, PT, LWF, Bonus, Gratuity, TDS, and statutory compliance.
- Understanding of Indian labour laws and payroll regulations.
- Experience in PF and ESIC grievance handling.
- Hands-on experience in payroll software and HRMS such as Keka, SAP, GreytHR, or similar systems.
- Good knowledge of MS Excel and payroll data handling.
- Strong analytical, communication, and problem-solving skills.
- Ability to handle multiple tasks and meet deadlines.
