Job Title: Executive Assistant to the CEO
Location: Pensacola, FL 32503
Position Type: Full-Time, Hybrid
Schedule: Monday-Friday ( a schedule will be assigned within operating hours )
Operating Hours 7:00 am - 5:00 pm
Job Summary
The Executive Assistant provides high-level administrative and operational support to the CEO. This role is responsible for managing the CEO’s calendar, travel arrangements, expense reporting, and other day-to-day administrative tasks. The Executive Assistant acts as a point of contact, handling inquiries and requests on behalf of the CEO. This position requires strong organizational, professional communication, and problem-solving skills.
Key Responsibilities
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel
- Make travel arrangements (flights, hotels, ground transportation, etc.)
- Process expense reports and reimbursements
- Field and respond to calls, emails, and other inquiries directed to the CEO
- Adaptable in high volume environment
- Provide general administrative support, such as filing, copying, and organizing electronic and physical documents
- Assist with special projects and other tasks as assigned by the CEO
- Maintain discretion and confidentiality with sensitive information
- Exercise sound judgment in prioritizing competing demands, and maintain a proactive approach to anticipating needs
- Build strong, diplomatic working relationships across the organization, facilitating coordination and communication between departments and individuals on behalf of the CEO
- Other ad hoc tasks as directed
Qualifications
- 2+ years of experience as an Executive Assistant or in a similar role supporting an Executive-level leader(s)
- Associate degree or higher required
- Excellent organizational, time management, and multitasking skills
- Strong written and verbal communication abilities
- Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
- Ability to work both independently and within teams
- Attention to detail and problem-solving skills
- Flexible and adaptable to changing priorities
- Discretion in handling sensitive and confidential information
