Job Description
Summary: Resident Media publishes RESIDENT, a luxury lifestyle media brand spanning travel, hospitality, dining, fashion, real estate, and culture across digital, print, newsletter, and social platforms. The Editorial Operations Coordinator will organize inbound opportunities, coordinate editorial schedules and contributors, support CMS publishing and SEO quality checks, assist with newsletters and revenue opportunities, and provide administrative support to the Executive Publisher.
Responsibilities:
- Monitor and manage RESIDENT's editorial and general inboxes daily; log every inbound inquiry into our tracking system
- Categorize each opportunity: editorial, advertising, partnership, or subscriber; and route it to the right decision-maker
- Send timely, professional first responses that represent the brand and gather key information (clients represented, contact details, goals)
- Build our contact records and grow the newsletter subscriber list from every appropriate touchpoint
- Prepare a weekly opportunity summary for the editorial team's review meeting
- Support the daily content pipeline from intake through publication
- Maintain a forward-looking content calendar and slot approved pieces into it
- Coordinate internal contributors and freelance writers; track deadlines and follow up so nothing stalls
- Coordinate weekend scheduling and assist with post-publication updates and corrections
- Learn our CMS (Quintype BOLD) and stage articles with proper formatting, images, metadata, and internal links
- Apply SEO fundamentals and quality checks before publication (we will train you on our standards)
- Serve as publishing backup during high-volume periods
- Flag inbound opportunities with affiliate, advertising, or partnership potential to the appropriate lead
- Support newsletter production by helping source and organize content
- Help prioritize content that drives both audience and business value
- Maintain records, trackers, and simple SOPs that keep the operation organized
- Provide day-to-day administrative support to the Executive Publisher
Required Qualifications:
- 1–3 years of experience (internships count) in PR, communications, publishing, marketing, or administrative operations
- Exceptional organization and follow-through; you close loops without being reminded
- Strong, professional written communication
- Sharp attention to detail: names, spellings, links, and formatting matter to you
- Comfort learning new tools quickly, including AI tools (ChatGPT, Claude) as part of daily workflow
- Remote, U.S.-based; availability during Eastern-time business hours
Preferred Qualifications:
- Exposure to a CMS (WordPress, Quintype, or similar) and basic SEO concepts
- Familiarity with luxury, lifestyle, travel, or hospitality media
- Experience with a CRM, project management tool, or email marketing platform
