Job Description
Summary: Redwire is seeking an Administrative Assistant to provide administrative support for the smooth operation of their office. The role requires strong organizational skills and attention to detail, with responsibilities including general administrative tasks, front desk duties, data entry, and office organization.
Responsibilities:
- Provide general administrative support such as answering phone calls, responding to emails, managing calendars, processing physical mail and scheduling appointments
- Greet visitors, clients, and employees in a professional and friendly manner. Check in guests via visitor kiosk, direct inquiries to the appropriate person or department
- Accurately enter data into spreadsheets, databases, and other electronic systems. Maintain and update records, files, and documents in a systematic and organized manner
- Organize and maintain physical and electronic files. Ensure documents are properly labeled, filed, and easily accessible. Retrieve and distribute files as requested
- Monitor and maintain inventory of office supplies, equipment, and stationery. Place orders for supplies as needed and ensure the availability of necessary items
- Assist in preparing meeting rooms, including arranging furniture, setting up audiovisual equipment, arranging for and providing refreshments, returning meeting spaces back to original condition. Take meeting minutes and distribute them to attendees as required
- Draft, proofread, and edit routine correspondence, memos, and reports. Maintain professional and timely communication with internal staff, external contacts, and clients
- Maintain a clean and organized office environment. Ensure communal areas, such as the reception area, kitchenettes, and conference rooms, are tidy and presentable. Coordinate maintenance and repairs as needed
- Coordinate relationships and services provided by key Facility Vendors (e.g., Office Supplies, Café Vendor, Landscaping, Pest Control, Dumpster, Recycling, Office Cleaning, Window Washing, etc.)
- Support new employee onboarding w/ HR, Facilities Team, IT, and Hiring Manager
- Participate in site Engagement Committee which arranges team building, volunteer and other engagement activities for the full team
- Coordinate weekly updates to “screen content” and distribute office memos and newsletters as required
- Manage “Company Swag” supply and allocation to team
- Coordinate with corporate travel team to support visiting Edge team members during visits to Ann Arbor
- Provide support on special projects, assignments, or tasks assigned by supervisors or managers. Adapt to changing priorities and handling multiple tasks simultaneously
Required Qualifications:
- Proficient computer skills, including knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic understanding of office equipment such as printers, copiers, and scanners
- Strong organizational skills with attention to detail and accuracy
- Excellent verbal and written communication skills
- Ability to prioritize tasks, manage time effectively, and meet deadlines
- Professional demeanor and strong interpersonal skills
- Ability to work independently as well as in a team environment
- Demonstrated reliability, punctuality, and a strong work ethic
- Discretion and respect for confidential information
- Willingness to learn and take on new responsibilities
Preferred Qualifications:
- Prior experience in an office environment is preferred but not required
