Job Description
Use Your Power for Purpose
The Senior Manager of Project Planning will serve as the operational backbone for scalable, repeatable, and low-friction ways of working across data-led initiatives. This role is accountable for designing, implementing, and governing lightweight project planning processes that reduce distraction, improve delivery discipline, and free technical and data teams to focus on high-value work.
This individual will own planning and operational infrastructure across the AIA data portfolio—spanning project intake, cross-functional coordination, documentation hygiene, delivery cadences, and executive communications—bringing structure where today work is reactive, ad hoc, and inefficient.
Core Problem This Role Solves
Teams across the AIA Data Strategy group are currently absorbing a disproportionate amount of heavy coordination and administrative overhead, including intake management, project tracking, documentation cleanup, and urgent one-off requests. This has led to missed deadlines, inconsistent artifacts, fragmented plans, and reduced delivery predictability. This role exists to design the system, not just manage the work.
What You Will Achieve
1. Project Planning Process Design & Automation
- Design, implement, and continuously improve lightweight, repeatable project planning processes that scale across the AIA Data Strategy portfolio.
- Translate complex coordination workflows (e.g., initiative intake, resource alignment, milestone tracking, compliance checkpoints) into clear, documented, and automatable processes.
- Identify opportunities to automate or streamline manual planning activities using low-code/no-code tools, workflow engines, and standardized templates.
2. Delivery Discipline & Operating Cadence
- Establish and enforce delivery discipline for recurring AIA DATA STRATEGY operational artifacts (e.g., QBRs, roadmap updates, status reports, funding and intake materials).
- Define standard operating cadences across AIA DATA STRATEGY teams, including timelines, ownership, escalation paths, and quality bars.
- Act as the operational "air traffic controller," ensuring commitments are visible, tracked, and met without relying on heroics.
3. Canonical Documentation & Knowledge Management
- Own standards for formatting, naming, versioning, and storing critical AIA DATA STRATEGY project and planning documentation.
- Ensure all key documents are centrally stored, discoverable, and consistently structured to support governance, compliance, and leadership consumption.
- Partner with technical and business owners to convert tribal knowledge into durable, canonical artifacts.
4. Distraction Reduction & Intake Management
- Design and manage structured intake mechanisms to reduce reactive, ad hoc interruptions to AIA DATA STRATEGY delivery teams.
- Triage urgent vs. non-urgent requests and route work through defined processes rather than informal channels.
- Protect delivery teams from constant context switching by creating clear operational boundaries and prioritization frameworks.
5. Cross-Functional Coordination & Enablement
- Serve as the central coordination layer for initiatives spanning data, technology, legal, compliance, and business stakeholders within the AIA DATA STRATEGY 's remit.
- Standardize coordination playbooks covering stakeholder alignment, dependency tracking, risk escalation, and milestone accountability.
- Ensure project experiences are predictable, documented, and scalable—not bespoke per initiative.
6. Executive & Cross-Functional Communication
- Own operational communications for AIA DATA STRATEGY, including weekly updates, status rollups, and leadership-ready summaries.
- Synthesize complex project signals into clear, concise communications for senior stakeholders and the AIA DATA STRATEGY directly.
- Act as the connective layer across Data, Engineering, Product, Legal, Compliance, Security, Finance, and external partners.
Here Is What You Need (Minimum Requirements)
- Bachelor’s degree with at least 6+ years of experience;
- OR a Master’s degree with more than 5+ years of experience;
- OR a Ph.D. with 1+ years of experience.
- Strong leadership and influencing capabilities across all organizational levels
- Proven problem-solving and project management skills
- Demonstrated ability to plan, implement, and achieve complex goals and objectives
- Excellent verbal and written communication skills
- Exceptional customer, stakeholder, and relationship management abilities
