Job Description
Summary: Pax8 is a fast-growing, dynamic company focused on empowering small businesses with smarter technology. They are seeking an Academy Operations Automation Coordinator to manage Academy operations, ensure data quality, and support automation initiatives to enhance learning experiences.
Responsibilities:
- Run Academy operations end-to-end: coordinate onboarding, logistics, attendee tracking, and communications for Academy offerings (including coaching, live trainings, and peer groups)
- Protect data quality: keep records accurate, current, and standardised across Academy systems so reporting and follow-through are dependable
- Keep execution consistent: use checklists and defined workflows to ensure programs launch and run the same great way, every time
- Spot issues early: notice gaps, exceptions, and operational breakdowns — and surface patterns so we can fix root causes
- Support automation readiness: maintain clean inputs and structured data that enable future automation and AI-driven workflows
- Document repeatable processes: capture “how we do the work” using approved templates so knowledge is clear, shareable, and scalable
- Help test improvements: support validation of new workflows, forms, and system updates to ensure changes stick and outcomes improve
- Identify automation candidates: flag repetitive manual tasks and process friction points that are ideal for automation
- Coordinate across teams: manage requests to and from cross-functional partners (Sales, Enablement, Training, and more) with clarity and follow-through
- Support admin and reporting: process orders, assist with basic reporting, and keep intake/tracking organised and timely
- Keep guidance current: update SOPs, checklists, and operational guides as processes evolve
Required Qualifications:
- Proven experience in operations, coordination, customer service, or administrative support within a fast-paced environment
- Demonstrated ability to manage multiple moving parts, prioritise effectively, and follow through with ownership
- Considerable attention to detail — especially around data accuracy, status tracking, and process consistency
- Strong comfort working across systems and spreadsheets, keeping inputs standardised and dependable
- Curiosity about automation and AI-enabled workflows, with an instinct for spotting repetitive work and friction points
- Clear, confident communication skills — written and verbal — across a variety of stakeholders
- Collaborative approach, with accountability and adaptability in a high-growth organisation
- Experience with tools used for documentation, project tracking, or workflow coordination (for example: knowledge bases, ticketing tools, automation platforms, or AI assistants)
