About the Role:
The IT Coordinator supports NYSTEC’s Information Technology and Corporate Information Security functions by coordinating administrative, operational, financial, compliance, and project-related activities that help the department deliver reliable, secure technology services.
This role manages invoice intake and tracking, maintains accurate information in IT and security systems and tools, assists with planning and coordination activities, and supports the completion of recurring operational processes once supporting frameworks and workflows are established.
The position is well suited for a highly organized, detail-oriented individual who is interested in learning IT, cybersecurity, and business operations while building a long-term career in technology.
Key Responsibilities
Coordinate routine IT and Corporate Information Security administrative and operational activities, including scheduling, planning support, follow-ups, documentation, and status tracking.
Coordinate departmental operational workflows by maintaining Kanban boards, tracking Unusual Service Requests (USRs), facilitating work intake, identifying aging work items, and providing visibility into operational priorities and workload.
Manage IT invoice intake, tracking, validation, and routing to ensure timely review, approval, and processing in coordination with Finance, vendors, and IT leadership.
Maintain accurate records for IT and information security purchases, renewals, contracts, invoices, service requests, operational activities, and related departmental information.
Populate, update, and maintain information in IT and governance systems, including operational tools, documentation repositories, asset inventory, and compliance management platforms such as Hyperproof.
Assist with coordination of IT and information security projects and initiatives by organizing meetings, documenting action items, tracking deliverables, and following up with stakeholders.
Support IT procurement, vendor coordination, renewal tracking, and governance activities by gathering information, preparing documentation, maintaining status visibility, and coordinating follow-up on assigned actions.
Develop and maintain reports, trackers, dashboards, and summaries that provide visibility into IT activities, invoices, projects, and operational priorities.
Create and maintain process documentation, checklists, knowledge articles, and standard operating procedure materials for recurring IT coordination activities.
Perform other duties as assigned.
About you:
Required Qualifications
Effective organizational skills with the ability to manage multiple tasks, deadlines, follow-ups, and priorities.
High attention to detail and commitment to maintaining accurate information, records, and documentation.
Effective written and verbal communication skills, with the ability to interact professionally with internal stakeholders, vendors, and cross-functional teams.
Ability to follow established processes while asking thoughtful questions and escalating issues when guidance is needed.
Comfort working with business systems, spreadsheets, shared documents, ticketing tools, and Microsoft 365 applications such as Outlook, Teams, Excel, Word, and SharePoint.
Ability to collect, organize, validate, and maintain data in systems using defined standards, templates, and procedures.
Interest in learning IT operations, technology tools, procurement processes, project coordination, and business systems support.
Familiarity with or interest in IT governance, information security, risk management, compliance, or audit processes.
Ability to appropriately handle confidential, sensitive, and security-related information with discretion and professionalism.
Ability to work independently on assigned tasks while collaborating effectively in a team environment.
Preferred/Desired Qualifications
Experience in administrative coordination, IT operations, business operations, project coordination, customer service, technology support, procurement, or office operations preferred.
Prior exposure to information technology, information security, business systems, procurement, vendor coordination, or project tracking is preferred but not required.
Education and Experience
Associate degree in information technology, business administration, communications, or a related field required.
An equivalent combination of advanced education, training, and experience will be considered.
The target hourly rate for this position is $22.85 – $28.56 per hour. When determining compensation, we analyze and carefully consider several factors, including skill set, experience, location, and job-related qualifications.
