Job Description
Summary: The North Carolina Department of Agriculture and Consumer Services is looking for an Administrative Assistant for the Community Center within the Parks, Recreation & Tourism Department. This part-time role involves planning and implementing activities at the Surf City Community Center, serving as the first point of contact for visitors, and performing various administrative tasks.
Responsibilities:
- Assists the Recreation Administrative Supervisor in planning, implementing, and evaluating activities for the community center, including on-site duties during the month, week, day, and post-event
- Works a non-traditional schedule, including evenings, nights, and weekends, with limited supervision
- Serves as the first point of contact at the Surf City Community Center via telephone, email, and walk-ins
- Collects fees for membership, rentals, classes, camps, clinics, athletic leagues, and special events and maintains payment records in the appropriate files and software
- Answers and directs phone calls, forwarding messages and requests to appropriate staff members
- Performs basic administrative tasks such as utilizing a computer to complete projects, typing, copying, and faxing materials as assigned, and responding to inquiries in person, over the phone, or via email
- Provides assistance across all divisions of the PRT department as required
- Assists in setting up and breaking down facilities for meetings, classes, programs, and events
- Assists with Processing, communication, and coordination of the Community center information
- Creates promotional materials for events and programs, keeping employees and participants consistently updated on community center activities
- Provides assistance across all divisions of the PRT department as required
- Ensures the safety of all participants, treats minor first-aid incidents, completes accident reports, and provides a copy to the Recreation Administrative Supervisor
- Collects fees for special events, memberships, rentals, classes, camps, clinics, and athletic leagues and maintains records of payments in the appropriate files and software
- Maintains a clean work environment at all times
- Performs other duties of a similar nature or level
Required Qualifications:
- A High School Diploma or General Equivalency Diploma (GED) is preferred
- Ability to successfully perform the essential duties and responsibilities of the job
- One to two years of experience in Parks and Recreation
- Valid Driver's License (NC Preferred)
- Bloodborne Pathogens (BBP) (preferred, required within 3 months of hire)
- CPR/AED Certification (preferred, required within 3 months of hire)
- Knowledge of records management principles
- Knowledge of current office practices and procedures
- Knowledge of principles and practices of promotional work
- Ability to represent the Town professionally and respectfully while interacting with diverse individuals
Preferred Qualifications:
- NC Commercial Driver's License – Passenger Endorsement
