FWS ADMINISTRATIVE ASSISTANT
Temporary · Location: San Diego, CA, US
Title of position: Administrative Assistant / Student Worker
Supervisor: Charles Diaz, Facilities and IT Technician
Position Start Date: Summer 2026
Number of students needed: One (1)
Schedule: TBD, up to 20 hours per week
Salary: $18 per hour
GENERAL SUMMARY
The IT and Facilities department is seeking a reliable, organized, and detail-oriented student to serve as an Administrative Assistant. This position provides essential support to daily IT and campus facilities operations and offers hands-on exposure to administrative processes, customer service, and operational coordination in a professional environment.
Note: This position is funded through the Federal Work-Study program. Applicants must have a confirmed Federal Work-Study award in their current Financial Aid package to be eligible.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Administrative Support: Assist IT and Facilities leadership and staff with assigned administrative tasks, correspondence, and coordination activities.
• Service Requests & Tracking: Assist with logging, tracking, and following up on IT help desk tickets and Facilities work orders.
• Data & Documentation: Perform data entry, digital filing, scanning, and organization of records and documentation.
• Scheduling & Coordination: Assist with scheduling meetings, managing calendars, coordinating vendor visits, and reserving rooms.
• Office & Asset Support: Monitor IT and facilities supply inventories and submit restock requests.
• Special Projects: Support department projects such as equipment audits or campus operations.
• Customer Service: Serve as additional contact for basic IT or Facilities inquiries.
• Confidentiality & Compliance: Handle sensitive information responsibly and follow institutional policies.
REQUIRED QUALIFICATIONS
• No history of academic or conduct issues
SKILLS AND SPECIFICATIONS
• Proficiency in Microsoft Office or Google Workspace
• Strong verbal and written communication skills
• Excellent organizational skills and attention to detail
• Customer-service oriented with professional demeanor
• Ability to multitask in a dynamic environment
SCHEDULE
Work shifts will be scheduled between 8:00 AM - 5:00 PM, Monday - Friday. Academic schedules will be accommodated.
