Job Description
Summary: NTS provides IT solutions and managed services, including managed print services. The Copier Service Associate coordinates copier service operations by handling service requests, scheduling, inventory, client communication, documentation, reporting, and escalation of technical issues.
Responsibilities:
- Effectively provides first response to client for resolution or escalation to service technician. Receive, log, and prioritize service requests from Client via phone, email, or ticketing system
- Diagnosis level of service required. Escalate complex issues to Technical resource, and ensure timely response to client
- Maintain accurate records of service requests, including details of issues reported, actions taken, and resolutions provided
- Manage inventory levels of copier supplies, and consumables required for service operations
- Monitor stock levels, track usage patterns, and reorder supplies as needed to ensure adequate inventory availability while minimizing excess or shortages
- Serve as a primary point of contact for clients regarding service inquiries, status updates, and escalations
- Communicate effectively with clients to gather information about service needs, provide updates on service progress, and ensure satisfaction with service outcomes
- Address client concerns or complaints promptly, escalate issues as necessary, and follow up to ensure resolution and customer satisfaction
- Maintain accurate records, documentation, and databases related to service activities
- Generate reports, analyze service data, and track key performance metrics
Required Qualifications:
- High school diploma or equivalent military qualification required
- Strong organizational skills with attention to detail and the ability to prioritize tasks effectively in a fast-paced setting
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients, colleagues, and vendors
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to work independently, solve problems, and handle confidential information with discretion
- Adaptability to learn new copier systems and technical terminology related to copier service operations
- Strong multitasking abilities and a customer-centric mindset with a commitment to delivering high-quality service and support
Preferred Qualifications:
- Proven experience in administrative roles, preferably in a service-oriented environment or within the copier industry
