Legal Assistant - Deed Quality Review Specialist
Position Summary
We are seeking a highly detail-oriented Deed Quality Review Specialist to review deeds and related legal documents for accuracy, completeness, consistency, and proper formatting before they are finalized or recorded.
This position is well suited for someone who enjoys careful, focused work and has a strong ability to identify errors or inconsistencies. Prior experience with deeds or legal documents is helpful but not required. We are willing to train a candidate who demonstrates excellent attention to detail, strong English-language skills, and an aptitude for learning legal terminology and document requirements.
Key Responsibilities
- Proofread deeds and related documents for spelling, grammar, punctuation, formatting, and typographical errors
- Confirm that names, addresses, dates, legal descriptions, property information, and other document details are complete and consistent
- Compare documents against source information, templates, instructions, and supporting records
- Identify missing, conflicting, or potentially inaccurate information and escalate questions for clarification
- Review documents for compliance with established internal standards and procedures
- Send and receive documents electronically and, when needed, through mail or delivery services
- Track documents throughout the review, signature, return, and recording processes
- Maintain accurate electronic files and document-status records
- Communicate professionally with internal team members, clients, attorneys, title companies, recording offices, and other parties
- Protect confidential client, property, and legal information
- Learn and apply basic legal terminology and deed-document requirements
- Meet established accuracy, quality, and turnaround-time expectations
Qualifications
- High school diploma or equivalent required
- Professional proficiency in reading, writing, and communicating in English
- Exceptional attention to detail and ability to identify small errors or inconsistencies
- Strong proofreading, spelling, grammar, and written communication skills
- Ability to follow detailed instructions, templates, and standardized procedures
- Strong organizational and document-management skills
- Ability to manage multiple documents and deadlines without sacrificing accuracy
- Comfortable sending, receiving, saving, and tracking electronic documents
- Proficiency with email, Microsoft Word, Adobe Acrobat or PDF software, and basic document-management systems
- Ability to handle sensitive and confidential information responsibly
- Willingness and ability to learn legal terminology and deed-document processes
Preferred Qualifications
- Previous experience proofreading legal, real estate, title, mortgage, or other highly detailed documents
- Basic understanding of legal terminology or real estate documents
- Familiarity with deeds, property records, legal descriptions, or county recording requirements
- Experience working in a law firm, title company, real estate organization, or document-processing environment
