Job Description
Summary: The Nebraska Department of Health and Human Services is seeking an Office Specialist to provide essential administrative support for Behavioral Health Services at Lincoln Regional Center. The role involves managing patient funds, supporting meetings, maintaining spreadsheets, and ensuring efficient daily operations for clinical teams.
Responsibilities:
- Manage patient funds, including reconciliation and processing withdrawal requests
- Support meetings with agendas and minutes
- Maintain staffing analysis spreadsheets and multiple excel spreadsheets
- Scan and distribute documents, schedule meetings, and maintain calendars
- Order and maintain nursing supply inventory
- Assist with data collection and documentation management for medication error reporting
- Conduct audits of restraint and seclusion documentation
- Ensure required nursing unit audits are completed accurately and on time
- Maintain patient property and inventory records
- Provide backup support to the Reception Center
- Provide backup support to the Staffing Office
- Perform other administrative duties as assigned
Required Qualifications:
- Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency
- Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment
- Must be at least 19 years of age
- Knowledge of administrative and clerical support practices and procedures
- Knowledge of basic recordkeeping and data management
- Knowledge of customer service principles
- Knowledge of business writing, grammar, and proofreading
- Knowledge of office software such as Microsoft Word, Microsoft Excel, and Microsoft Outlook
- Ability to communicate effectively in person, by phone, email, and written correspondence
- Ability to work professionally with individuals from diverse backgrounds
- Ability to prepare, review, and maintain accurate reports and documentation
- Ability to follow policies, procedures, and administrative guidelines
- Ability to maintain confidentiality when handling sensitive information
- Ability to stay organized and manage multiple tasks in a fast-paced environment
Preferred Qualifications:
- 1-2 Years Experience: Proficient using Microsoft Word, Microsoft Excel, and Microsoft Outlook for daily administrative tasks
- Experience managing multiple tasks and staying organized in a busy work environment
- Experience handling administrative work accurately, including detailed recordkeeping, reviewing documents, and detailed data entry
