Job Summary
The IT Asset Management Coordinator is responsible for tracking, managing, and optimizing the lifecycle of IT assets including hardware, software, licenses, and related equipment. This role ensures accurate inventory control, compliance with licensing agreements, and cost-effective asset utilization across the organization
Essential Functions
• Understands and adheres to the WPH Performance Standards, Policies and Behaviors.
• Asset Lifecycle Management:
• Maintain accurate inventory of IT hardware and software assets.
• Track assets from procurement through deployment, maintenance, and disposal.
• Coordinate asset tagging, labeling, and documentation.
• Monitor asset warranties, leases, and service contracts.
• Inventory & Compliance
• Conduct regular asset audits and reconciliation.
• Ensure compliance with software licensing agreements and vendor contracts.
• Maintain records in IT asset management systems in Service Now.
• Generate compliance and inventory reports as required.
• Procurement & Vendor Coordination
• Assist with procurement of IT equipment and software.
• Coordinate with vendors for purchasing, returns, replacements, and renewals.
• Track purchase orders and maintain procurement documentation.
• Support & Collaboration
• Work closely with IT support teams to manage equipment allocation and recovery.
• Coordinate onboarding/offboarding equipment distribution and retrieval.
• Provide asset data to Finance and IT leadership for budgeting and forecasting.
• Performs all other related duties as assigned.
Qualifications
• Associate Degree Required
• Bachelor Degree Preferred
• 1-3 years One to three years’ Inventory management experience strongly preferred
• Strong knowledge of Desktop Computing (High proficiency)
• Ability to conduct research and evaluate the ongoing changes in technology and continued evaluation of best practices in support of Asset Management Services (Medium proficiency)
• Ability to plan and develop time and cost estimates for projects.
