Overview
Montefiore Einstein is seeking an experienced, hands-on operational and finance-focused leader to serve as Associate Director, House Staff Office. This role is essential to the financial, regulatory, and operational integrity of Graduate Medical Education, with direct responsibility for high‑stakes federal and state GME reporting and billing activities.
The Associate Director will lead a highly experienced, close‑knit administrative team, oversee complex financial and compliance processes, and serve as a key partner to Finance, HR, IT, and senior GME leadership. This is a fully on-site role requiring daily presence and active team leadership.

Responsibilities
Prepare annual Graduate Medical Education (GME) IRIS Reports for MMC (i.e., Fiscal Year - January to December) and any responses to Medicare audits of MMC GME reimbursement submissions to the Center for Medicare and Medicaid Services. As well as reconcile hospital inter-charge accounts.
Review and approve New House Staff credentialing documents for eligibility for training and assignment of PGY levels as well as review visa applications and check the maintenance of visa statuses.
Supervise the operations and personnel of the House Staff Office.
Participate in the planning, organization and implementation of educational, social, and career-related programs and services and prepare annual budgets and monthly financial status reports.
Conduct joint onboarding processes with Montefiore IT to provide training for incoming House Staff and confirm their access to Montefiore Computer Systems and prepare New Hire Template for the HR Workday Team to onboard incoming House Staff.
Qualifications
Bachelor’s degree (required); advanced education a plus
4–6+ years of experience in healthcare administration and/or healthcare finance
Demonstrated experience with GME financial reporting or Medicare-related reimbursement strongly preferred
Proven people management experience
High proficiency with systems such as:
IRIS
New Innovations
ERAS / NRMP
Microsoft Word & Excel
Workday preferred
Prior Graduate Medical Education experience preferred
Experience in a large academic medical center preferred
Comfort managing high-volume, deadline-driven financial responsibilities preferred
Experience stepping into roles with significant institutional history preferred
