People Operations Specialist - 12 months… at Mentimeter · Stockholm

Mentimeter is an engagement tool with a clear goal in mind. To turn presentations into conversations. Through real-time interactivity and clear visualizations, we get people to participate, engage and become more productive. Transforming all those passive meetings, airless classrooms and drawn out trainings into valuable and memorable moments.

We truly believe that you achieve the best results by doing things together. And that successful leaders need to adopt a curious and collaborative mindset in order to get there. So with you at Mentimeter, you’ll be a big part of the ambition to help over 1 billion people listen, learn and work better together.

As our People Operations Specialist, you'll be the engine that keeps our day-to-day people operations running smoothly. You'll own the operational backbone that our 400+ Mentees rely on — from the systems and policies that make work feel easy, to the daily HR cases that managers bring to your table. Your work makes the difference between People processes that feel like homework and ones that feel like genuine support.

You'll be part of our People & Culture team and work closely with our Senior People Operations Manager, who you'll partner with to make sure Mentimeter's people operations are something both employees and leaders can trust and lean on. This is an interim position, covering for a parental leave of 12 months, starting in September.

What you will do

Some examples of what you will fill your days with are;

• Coordinate and project-manage recurring people processes (development cycles, engagement surveys, salary review operations) alongside the Senior People Operations Manager
• Drive operational improvements in how we work — identifying friction, simplifying processes, and bringing AI and automation into the toolkit where it makes sense
• Run our day-to-day people operations end-to-end — VISA applications, onboarding and offboarding admin, contracts, employment changes, parental leave, sick leave, and everything in between
• Own the back-end of our HR tech system: keep data clean, workflows working, and the system genuinely useful for leaders and Mentees
• Support managers on people cases from a labour law pow — guiding them on what they can and can't do under Swedish labour law, providing templates, and knowing when to escalate to senior expertise
• Structure, write, and maintain people-related information in Notion so it's easy to find, easy to understand, and stays updated
• Support compliance work — making sure statutory obligations, policies, and documentation are in order and up to date

What we believe you come with

This is a role for someone who genuinely enjoys operations. Someone who finds satisfaction in a well-structured Notion page, a clean Personio workflow, a clearly answered question from a manager who didn't know where to turn. You'll take real ownership of your domain, communicate with clarity, and bring a curious, can-do attitude to how we use AI and automation to make People Operations better, faster, and more accessible.

Background & Skills

• 3+ years of experience in a People/HR Operations, or HR Generalist role
• Solid working knowledge of Swedish labour law and a confident sense of when a case is straightforward vs. when it needs to be escalated
• Strong project management skills — you take clear ownership, deliver on time, and communicate proactively along the way
• Excellent written and verbal communication in English; able to make complex things simple
• A genuine love for operations and admin work — you find satisfaction in things being structured, accurate, and running smoothly
• Experience supporting managers through everyday people cases (sick leave, parental leave, performance concerns, employment changes)
• A curious, can-do attitude toward AI and automation in HR work
• Comfortable working in and maintaining information systems like Notion (or similar)

Please note that this position is located onsite at our office in Stockholm with a hybrid setup. The starting date is flexible, but ideally in the month of September.

AI and Hiring at Mentimeter At Mentimeter, we believe AI helps us work smarter - but it never replaces the human assessment, curiosity, and personal connection that define our culture and our hiring. We use AI as a sparring partner: to bounce ideas, bring new perspectives, support structure, and make our work more efficient. But the meaning, decisions, and interactions always come from people.

• AI does not screen or decide on candidates.
• There is no automated filtering, ranking, or decision-making in our recruitment process. Every application is reviewed by a person.
• Hiring teams may use AI to support their work - for example, to structure notes, prepare interview questions, or organize their thinking.

AI strengthens our work, but it does not define it. At Mentimeter, we’re not building an AI-driven hiring process - we’re building a people-first culture, where technology helps us listen, learn, and grow together.

Culture at MentimeterAt Mentimeter we believe in giving everyone a voice - regardless of who you are. So we build a platform that does just that. Our platform is not only our product but also our organization. A platform where people feel safe, where differences are embraced, a place where you can have fun. We strongly encourage applicants who are people of color, LGBTQ+, women, people with disabilities, and/or formerly incarcerated people, and a college degree is not strictly required. In order to give everyone a voice, we need to be as diverse as our users.
