Job Description
Summary: MATSYS Inc. is a rapidly growing defense manufacturing company focused on delivering high-quality, mission-critical products for its customers. They are seeking a highly organized and adaptable Executive Assistant Intern to support their CEO and President, ensuring smooth operations of the leadership team and office environment.
Responsibilities:
- Manage complex calendars for the CEO and the President, including scheduling meetings, prioritizing commitments, and resolving conflicts
- Coordinate travel arrangements, itineraries, and logistics
- Prepare, edit, and organize correspondence, presentations, and briefing materials
- Serve as a trusted liaison between executives and internal/external stakeholders
- Provide light scheduling and coordination support to other members of the executive team, as needed
- Assist with leadership meetings, including scheduling, agenda preparation, and note-taking
- Oversee day-to-day office operations to ensure a professional, efficient, and well-functioning workplace
- Coordinate internal events, meetings, and team activities
- Handle occasional, time-sensitive personal tasks for executives on an emergency basis, with professionalism and discretion
- Take on special projects and miscellaneous tasks as needed to support leadership priorities
- Be prepared to greet, direct, escort company guests in a professional and efficient manner while making them feel welcomed
- Other duties as assigned
Required Qualifications:
- Must be enrolled (or a recent graduate) from an undergraduate or graduate program
- Strong organizational and time management skills with the ability to prioritize effectively and multi-task as necessary
- Ability to adapt quickly, work independently, and change priorities
- Ability to anticipate and provide solutions for executive needs
- Excellent written and verbal communication skills
- High level of discretion and professionalism when handling confidential information
- Proficiency in Microsoft Office Suite
- Experience supporting multiple executives preferred
Preferred Qualifications:
- Bachelor's degree in English or Communications
- 5+ years of experience as an Executive Assistant in a fast-paced environment
- Experience in virtual meeting environments, video teleconferencing, and other means of communication
