Job Description
Summary: Lyra Technology Group is a private equity-backed holding company that invests in technology service businesses. They are seeking a full-time Sales Support Specialist to manage the purchasing process, ensure efficient office operations, and build vendor relationships to support ImageQuest's client needs.
Responsibilities:
- Successfully manage entire purchasing process for daily needs as well as involvement with multiple client projects
- Collaborate and communicate with project team, sales, account management, solutions engineering and leadership to ensure team is aware of details of purchases, equipment delivery status, and pricing
- Understand vendor pricing, selection, and availability to effectively provide best options to leadership, sales, relationship managers and solutions engineering
- Ensure overall efficiency of ImageQuest office by managing infrastructure support (e.g., supplies, access control systems, and facilities management of the building)
- Send client communications, participate in client meetings and manage smaller client accounts
- Sales order billing for client hardware and fixed fees as well as third party billing to vendors
- Collaboratively evaluate current and prospective vendors, recommend changes as needed, and serve as an interface to manage vendor relationships
- Document and maintain ordering processes specific to each vendor, including escalation contacts, billing contracts, promotional terms and conditions, and purchasing minimums/requirements
- Work to find alternates and substitutions when needed due to supply chain issues
- Develop internal relationships, which is necessary to operate efficiently and effectively
- Recommend changes and enhancements to system and / or processes
- Assist Relationship Managers, Solutions Engineering and the Project Team to: Source and price new technology/equipment solutions
- Understand client timelines and source equipment/technical solutions to meet key dates and deliverable
- Provide product specifications, features, and benefits for proposal and sales presentations
- Identify data to include in monthly reporting and be prepared to generate additional reports and pull data (such as costs, budgets, and expenses) as needed
- Assist project management team in timing and delivery of new solution installations
- Follow up on open tickets waiting on parts/equipment to update ticket
- Process internal and client purchasing requests and place orders in a timely manner: Source and order equipment, hardware, software, and licenses
- Utilize ConnectWise to identify equipment/licenses needed, generate purchase order, and order in a timely manner
- Monitor purchase order progress regularly to ensure orders in process
- Escalate with vendors as needed to ensure orders are processed and equipment delivered as scheduled
- Escalate with ImageQuest leadership team as needed for assistance to meet scheduled delivery
- Assist Field Technicians with tracking and ticketing associated with shipping, receiving, delivery, returns, and warranty of all equipment and supplies
- Monitor and maintain inventory levels
- Participate in meetings as needed
- Consistently and accurately maintain ConnectWise with information needed by all departments to successfully care for clients and opportunities
- Establish, build, and maintain strong working relationships with technical and sales team
- Document warranty information within ticketing and documentation platform, process warranty claims, and return to vendor (RMA) orders and follow up as needed
- Work closely with ImageQuest team members to order and maintain site inventories
- Work with management team, when necessary, to upgrade internal technology
- Sales order billing for client hardware and fixed fees

- Invoicing queue/service ticket billing for hardware destruction, additional client shipping charges
- Create invoices in ConnectWise
- Verify/post information in Lyra Business Central
- Manage information in Alternative Payments for payment processing
- Internal Purchasing credit card management, processing and accounting documentation
- Work with Accounting for documentation and strict timelines during month end
- Third party vendor service billing related to client projects or service tickets
Required Qualifications:
- Bachelor's degree or equivalent work experience desired
- 1+ years' experience of successful sales operations or account management, including procurement/purchasing
- Basic understanding of Managed Services Provider (MSP) business
- Experience in establishing and growing vendor relationships
- Ability to work both independently and collaboratively
- General technical knowledge a plus
- Ability to prepare written communication and materials
- Interpersonal skills such as telephony and communication skills, active listening, and client care
- Excellent organizational skills with keen attention to details
- Ability to function well in a high-paced environment
- Ability to multi-task and adapt to changes quickly
