Job Description

EXECUTIVE ASSISTANT
Executive & Operational Support
- Manage calendar scheduling, meetings, and call coordination
- Assist with email management and daily communications
- Track tasks, timelines, and project progress across multiple clients
- Maintain organized internal documents, trackers, and systems
- Coordinate travel, appointments, and logistical needs
Campaign & Talent Management Coordination
- Track influencer campaign deliverables and deadlines
- Assist with brand partnership coordination and logistics
- Coordinate product shipments and gifting for creators, editors, and partners
- Maintain campaign and partnership trackers
- Assist with managing creator communications and scheduling
Event & Activation Support
- Assist with sourcing items, vendors, and materials for brand events and activations
- Coordinate logistics for events and production needs
- Help organize production schedules and vendor coordination
- Assist with event preparation and occasional on-site support
Financial & Operational Support
- Assist with preparing and sending client invoices
- Track invoice status and follow up on outstanding payments when needed
- Maintain organized billing and payment records
- Assist with preparing client agreements and internal financial documents
Administrative & Research Tasks
- Research vendors, services, and sourcing requests
- Coordinate orders, deliveries, and operational needs
- Assist with preparing internal documents, decks, and reports
- Ensure tasks and requests are completed accurately and on time
Qualifications
- 2+ years of experience in fashion PR, talent management, influencer marketing, or a similar agency environment
- Experience in a fast-paced PR agency or talent management environment strongly preferred
- Strong understanding of influencer partnerships, brand collaborations, and PR campaign workflows
- Exceptional attention to detail and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Proactive and solutions-oriented mindset
- Strong written and verbal communication skills
Tools & Skills
- Google Workspace (Docs, Sheets, Slides)
- Experience managing trackers, timelines, and project workflows
- Comfortable coordinating across multiple clients, creators, and vendors
Role Details
- Full-time, in-person position based in Los Angeles
- Work directly alongside the founder on client campaigns, partnerships, and brand activations
