As an Operations Senior Specialist in loan closing operations, you support the transition of mortgage loans from late-stage processing through closing by maintaining accurate files, updating systems, and coordinating with internal teams and external partners. You help resolve documentation and data discrepancies while ensuring work is completed accurately and on time. You also provide coverage across support activities based on volume and staffing needs.
Job responsibilities
- Maintain and organize loan files, ensuring documentation is complete and accurately indexed.
- Perform clerical and administrative tasks such as scanning/imaging, copying, filing, data entry, and opening correspondence.
- Update and monitor loan-related records across internal systems and approved credit-related websites.
- Partner with internal teams (including underwriting) to support timely progression toward closing.
- Communicate with external parties and internal colleagues to resolve exceptions, discrepancies, and missing items.
- Track and follow up on outstanding requests to meet service-level and closing timelines.
- Provide coverage for support activities based on absences and volume fluctuations.
- Complete additional related duties as assigned.
Required qualifications, capabilities and skills
- Strong attention to detail with the ability to maintain accurate records and documentation.
- Strong problem-solving skills with the ability to identify issues and escalate appropriately.
- Ability to manage multiple tasks in a fast-paced, deadline-driven environment.
- Proficiency with basic office tools and computer applications (e.g., email, document management, data entry).
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively as part of a team.
Preferred qualifications, capabilities and skills
- Customer service experience in a professional environment.
- High school diploma or equivalent.
- Experience supporting mortgage, loan operations, or document processing workflows.
