Job Description
- Provide day-to-day administrative and student support to ensure smooth office and academic operations, serving as the first point of contact for student queries, requests, and administrative matters.
- Support the complete student lifecycle, including registration, admissions documentation, onboarding, batch allocation, transfers, withdrawals, attendance, and related follow-ups.
- Maintain accurate, confidential, and up-to-date student records, files, documents, and correspondence.
- Coordinate class schedules, timetables, assessments, examinations, meetings, orientations, workshops, events, and student activities.
- Prepare student letters, forms, certificates, reports, presentations, schedules, lists, and other administrative documents and reports.
- Manage appointments, meetings, calendars, and schedules for the team and management, ensuring effective coordination and avoiding conflicts.
- Coordinate travel arrangements, including flight tickets, transportation, and accommodation for staff, management, guests, and trainers as required.
- Coordinate communication between students, faculty, management, internal departments, clients, vendors, and external stakeholders.
- Support examination, assessment, graduation, certification, and result-related administrative activities.
- Coordinate with Admissions, Finance, Academic Affairs, Operations, and Student Services to ensure efficient student support and workflow.
- Assist with internal reviews, audits, accreditation, quality assurance, and maintenance of accurate, audit-ready records.
- Use MS Word, Excel, PowerPoint, and Outlook for documentation, reporting, presentations, data management, and correspondence.
- Organize and maintain office records and files, ensuring accuracy, accessibility, proper storage, and confidentiality.
- Coordinate with vendors and service providers and assist with institutional events and activities as required.
- Apply hospitality industry knowledge to support industry-specific administrative tasks, events, activities, and protocols.
- Address routine student and administrative issues and escalate complex or sensitive matters to the appropriate department or management.
- Maintain a professional, welcoming, and service-oriented approach when interacting with students, parents, faculty, visitors, and other stakeholders.
- Support the continuous improvement of administrative and student service processes and perform other duties assigned by Academic or Operations Management.
Skills & Qualifications:
- Strong English Proficiency: Excellent verbal and written communication skills in English.
- Experience in the Hospitality Industry: Previous experience in a similar role within the hospitality or education industry is an advantage
- Microsoft Office Skills: Strong command of MS Word, Excel, and other office-related tools.
- Communication Skills: Excellent interpersonal and communication skills with a focus on customer service and relationship building.
- Professional Personality: Must be well-presented, polite, and approachable always.
- Detail-Oriented: Ability to manage tasks efficiently while maintaining accuracy and organization.
