Job Description
Summary: The Illinois Department of Transportation is seeking to hire an Executive Secretary I. The successful candidate will perform responsible secretarial and administrative duties, functioning independently within the framework of organizational policies and exercising initiative and independent judgment.
Responsibilities:
- As secretary to the Land Acquisition Engineer, performs duties such as keyboarding correspondence and annual reports on Land Acquisition activities including project status
- Serves as receptionist for the Section; receives visitors and directs them appropriately
- Consults and advises the Land Acquisition Engineer on departmental methods, procedures and interpretations of departmental policies and programs
- Performs support functions for section staff
- Arranges travel and appointments, including hotel reservations for section for seminars and meetings
- Performs other duties as required or assigned which are reasonably within the scope of duties enumerated above
Required Qualifications:
- Requires knowledge, skill and mental development equivalent to the completion of two years secretarial/business college and one-year secretarial experience, or completion of high school and three years secretarial experience
- Requires ability to keyboard accurately at 55 wpm
- Qualifying state employees in the employee Upward Mobility Program may complete combinations of specific proficiency tests and training programs leading to a certificate of proficiency in lieu of the stated requirements for this classification
- Requires successful completion of a background investigation
- Requires the ability to work occasional overtime
- This position is considered sedentary work as defined by the U.S. Department of Labor (20 CFR 404.1567(a)). Sedentary work involves lifting no more than 10 pounds at a time and requires occasional lifting, carrying, walking, and standing
Preferred Qualifications:
- Prefers knowledge of word processing software (Microsoft Word, Excel, Access, PowerPoint, and Outlook) and IBM Mainframe Emulation
- Prefers working knowledge of office practices, procedures, business, English and spelling
- Prefers ability to maintain clerical records and prepare reports for such records
- Prefers ability to follow oral and written directions
