Director, Buildings and Grounds - Senior Living
The Director-Buildings and Grounds provides leadership and operational oversight for the physical environment and assigned community support services. The role is responsible for maintaining safe, reliable, clean, functional, and well-maintained buildings and grounds while directing functions that may include maintenance, plant operations, housekeeping, laundry, transportation, security, groundskeeping, renovation, and capital improvement activities.
Reporting to the Executive Director, the Director develops departmental plans, manages operating and capital resources, leads assigned team members and contractors, maintains regulatory and life-safety compliance, coordinates emergency response, and partners with residents and community leaders to support service quality and uninterrupted community operations.
Compensation: 100-110K depending on experience + performance-based bonus
Primary Duties & Essential Functions:
- Direct assigned facilities and support-service functions, which may include maintenance, plant operations, grounds, housekeeping, laundry, transportation, security, janitorial services, and related community services.
- Establish departmental goals, service standards, staffing plans, work priorities, performance measures, and operating procedures aligned with community and organizational expectations.
- Oversee the inspection, operation, preventive maintenance, testing, repair, and replacement of building systems and equipment, including heating and cooling, electrical, plumbing, water, fire and life-safety, emergency power, vertical transportation, access-control, and other facility systems.
- Maintain an effective work-order and preventive-maintenance program; evaluate service requests, establish priorities, monitor completion, identify recurring problems, and implement corrective action.
- Conduct or coordinate routine facility and grounds inspections to identify maintenance needs, safety hazards, accessibility concerns, service deficiencies, and potential operational or compliance risks.
- Plan and manage renovations, capital improvements, equipment replacements, and construction projects, including development of project scope, cost estimates, bids, schedules, contractor coordination, change control, quality review, budget monitoring, and project closeout.
- Prepare, administer, and monitor assigned operating and capital budgets; review expenditures, forecasts, invoices, purchase requests, general-ledger activity, and budget variances, and implement corrective action when necessary.
- Manage contractors, consultants, suppliers, and service providers; participate in vendor selection and contract review and monitor performance, safety, quality, cost, schedules, insurance, permits, and compliance with established requirements.
- Maintain appropriate inventories of equipment, replacement parts, tools, linens, cleaning products, supplies, and other operational resources while supporting effective purchasing and inventory-control practices.
- Ensure assigned operations comply with applicable building codes, occupational-safety requirements, fire and life-safety standards, environmental requirements, accessibility standards, infection-prevention practices, licensing requirements, and organizational policies.
- Coordinate required inspections, testing, permits, licenses, records, corrective-action plans, and responses to regulatory surveys, audits, citations, or identified deficiencies within the role’s assigned scope.
- Oversee department safety practices, hazardous-material communication, safety-data sheets, chemical handling, waste-management practices, incident reporting, equipment safeguards, and use of required personal protective equipment.
- Lead community facilities-related emergency preparedness and response activities, including utility disruptions, severe weather, fire and life-safety events, building emergencies, evacuation support, drills, and continuity-of-operations planning.
- Maintain availability for timely after-hours response to significant facility, utility, security, life-safety, or operational emergencies and coordinate internal and external response resources as appropriate.
- Monitor utility consumption, equipment condition, maintenance history, and facility performance; recommend energy-conservation, sustainability, reliability, and lifecycle-management improvements.
- Select, onboard, schedule, train, coach, develop, evaluate, and hold accountable assigned team members; make or recommend employment decisions consistent with organizational policy and delegated authority.
- Maintain department policies, inspection records, maintenance histories, regulatory documentation, project files, vendor information, operational reports, and other records necessary to demonstrate effective management and compliance.
- Build productive relationships with residents, families, team members, resident councils, vendors, regulators, emergency responders, and organizational partners; respond appropriately to concerns affecting safety, cleanliness, facility condition, or service quality.
- Coordinate with community departments and organizational functions regarding room preparation, resident moves, special events, renovation planning, infection-prevention needs, security concerns, transportation support, and other operational priorities.
- Promote resident dignity, safety, choice, and satisfaction while maintaining a professional, ethical, responsive, and service-oriented department.
Decision Authority & Scope
- Serves as the community department leader for assigned facilities, physical-plant, environmental, and support-service operations.
- Exercises substantial discretion in establishing work priorities, allocating department resources, responding to emergencies, resolving operational problems, and determining appropriate maintenance or service approaches within established policies and approval limits.
- Directly or indirectly supervises assigned managers, supervisors, leads, technicians, service team members, drivers, security personnel, contractors, and other department resources.
- Has responsibility for assigned operating and capital budgets and makes or recommends purchasing, vendor, repair, replacement, and project decisions within delegated authority.
- Participates in decisions regarding hiring, scheduling, performance management, recognition, corrective action, promotion, transfer, and termination of assigned team members in partnership with authorized leadership and Human Resources.
- Coordinates facility emergency response and may assume an assigned leadership role under the community’s emergency or incident-command plan.
- Escalates significant life-safety concerns, regulatory deficiencies, utility failures, capital needs, project risks, environmental hazards, security events, resident-impacting service disruptions, and expenditures outside established authority.
- The scope and composition of assigned departments may vary by community size, service model, regulatory environment, and organizational structure.
Minimum Qualifications
- High school diploma or equivalent.
- Minimum of seven years of progressively responsible experience in facilities management, plant operations, building maintenance, engineering, construction, environmental services, or a related field, including at least three years of supervisory or management experience.
- Demonstrated experience managing building maintenance and preventive-maintenance programs, vendors and contractors, operating expenses, capital projects, and regulatory or life-safety requirements.
- Working knowledge of major building systems and the ability to evaluate maintenance needs, service risks, contractor recommendations, project requirements, and equipment-replacement priorities.
- Demonstrated ability to prepare and manage budgets, analyze expenditures and variances, develop cost estimates, evaluate proposals, and administer purchasing and vendor relationships.
- Ability to interpret and apply technical information, building and safety requirements, organizational policies, inspection findings, contracts, plans, specifications, and operating records.
- Demonstrated ability to lead multiple service functions, manage competing priorities, exercise sound judgment, respond effectively to emergencies, and communicate clearly with technical and nontechnical audiences.
- Ability to use standard office applications and facility-management, work-order, building-control, project-management, or related operational systems.
- Ability to obtain and maintain licenses, permits, clearances, training, and certifications required by applicable law or organizational policy.
- Reliable transportation is required. A valid driver’s license, acceptable driving record, and proof of insurance may be required when driving a personal or company vehicle is necessary to perform assigned duties.
- Ability to provide or coordinate after-hours response to facility and community emergencies.
Preferred Qualifications
- Bachelor’s degree in facilities management, engineering, construction management, architecture, business administration, environmental services management, or a related field.
- Experience leading facilities or plant operations within senior living, health care, residential, hospitality, educational, or another complex multi-service environment.
- Experience supporting licensed health care operations, regulatory surveys, fire and life-safety compliance, infection prevention, emergency management, or continuity-of-operations planning.
- Experience managing major renovations, occupied-space construction, infrastructure replacement, capital planning, or long-term facility lifecycle programs.
- Certified Facility Manager, Certified Health Care Facility Manager, Facility Management Professional, or comparable facilities-management credential.
- Relevant trade license or professional credential in heating and cooling, electrical, plumbing, boiler operations, construction, safety, emergency management, or a related discipline.
- Experience with computerized maintenance-management systems, building-automation systems, utility-management programs, energy conservation, or sustainability initiatives.
Working Conditions & Physical Requirements
- Work is performed throughout a senior living community, including offices, residential and health care areas, mechanical rooms, service areas, grounds, rooftops, construction areas, and other indoor and outdoor locations.
- The role requires regular movement throughout the community to inspect facilities, meet with team members and contractors, evaluate conditions, and respond to operational needs.
- Work may involve exposure to noise, dust, odors, chemicals, biological materials, moving equipment, electrical or mechanical systems, wet or uneven surfaces, construction activity, and seasonal temperature conditions.
- Required personal protective equipment must be used when entering designated work areas or performing applicable activities.
- The position may require evening, weekend, holiday, or after-hours work and availability during facility emergencies, utility interruptions, severe weather, resident-impacting events, or construction activities.
- The role requires the ability to sit, stand, walk, climb stairs, bend, stoop, kneel, reach, inspect equipment and confined work areas, operate standard office equipment, and safely use or demonstrate basic hand tools when necessary.
- Must be able to occasionally lift or carry up to 25 pounds and push or pull equipment or materials using appropriate assistance or mechanical devices.
- Local travel may be required for meetings, purchasing, inspections, training, or other business activities.
