Finance & Banking Administration Assistant
Location: Ottawa, Ontario
The Finance & Banking Administration Assistant is an entry‑level role designed for a university student seeking hands‑on experience in finance operations and regulatory compliance. The company operates within a complex legal and corporate organizational structure, providing meaningful exposure to how finance, banking, and compliance intersect in a multi‑entity environment. The role supports banking documentation, statutory filings, and payroll‑related compliance activities under the guidance of senior finance team members.
Responsibilities & Duties:
Assist in preparing and completing bank service agreements and related documentation
Support KYC, anti‑money laundering (AML), and other banking regulatory compliance paperwork
Help coordinate updates to banking signing authorities and account mandates across multiple legal entities
Liaise with the company’s dedicated banking teams to obtain required forms and supporting information
Submit completed documentation and follow up to ensure timely processing and implementation by banks
Assist with U.S. payroll tax registrations, including the preparation of registration forms and supporting documentation
Support the completion and submission of payroll‑related powers of attorney (POAs) with tax and payroll authorities
Maintain organized, accurate records of banking, compliance, and tax documentation
Provide status updates to internal stakeholders and respond to routine banking or compliance inquiries
Collaborate with cross-functional teams
Requirements
Currently enrolled in a university undergraduate program
Interest in finance, business administration, accounting, legal studies, or a related field
Authorization to work in Canada
Strong attention to detail and accuracy when completing and reviewing documentation
Well‑organized, with the ability to track multiple forms, deadlines, and follow‑ups
Comfortable working with confidential and sensitive financial and legal information
Clear written and verbal communication skills for liaising with internal teams and external banking contacts
Basic proficiency with Microsoft Office (Excel, Word, Outlook) or similar productivity tools
Willingness to learn regulatory, banking, and compliance concepts in a structured corporate environment
Ability to follow established procedures while asking thoughtful questions when clarification is needed
Professional, reliable, and able to manage tasks independently with guidance
Salary range : $21-$23
