Job Description
Key Responsibilities
1. Day-to-Day Accounting
- Record purchase, sales, receipt, payment and journal entries in Tally/ERP.
- Assist in maintaining books of accounts and supporting schedules.
- Verify invoices, bills, vouchers and other accounting documents.
- Ensure transactions are recorded under the correct ledger and cost centre.
- Assist in maintaining proper accounting documentation and filing.
2. Accounts Payable Vendors
- Verify vendor invoices against purchase orders/work orders and supporting documents.
- Assist in processing vendor payments.
- Maintain vendor ledgers and outstanding statements.
- Perform vendor account reconciliations.
- Follow up internally for missing invoices, approvals and supporting documents.
3. Accounts Receivable – Customers
- Assist in preparation and accounting of customer invoices.
- Maintain customer ledgers and outstanding receivables.
- Assist in customer account reconciliation.
- Track due dates and prepare receivables ageing reports.
- Support the accounts team in payment follow-ups and collection documentation.
4. Bank & Cash Accounting
- Record bank receipts and payments.
- Perform periodic bank reconciliations.
- Assist in tracking bank charges, interest and other banking transactions.
- Maintain petty cash records and supporting vouchers.
- Assist in verification of employee advances and expense reimbursements.
5. GST & Tax Compliance
- Assist in GST-related accounting and documentation.
- Verify GSTIN, tax rates, HSN/SAC and input tax credit details in invoices.
- Assist in reconciliation of purchase records with GSTR-2B.
- Support preparation of data required for GST returns.
- Assist in TDS calculations, deductions and reconciliation.
- Maintain supporting records required for statutory filings.
6. Purchase & Expense Verification
- Check bills against purchase orders, work orders and approvals.
- Verify quantity, rate, GST and other commercial terms.
- Check employee travel and expense claims.
- Identify discrepancies and coordinate with the concerned department for clarification.
7. Reconciliations
Assist in periodic reconciliation of:
- Bank accounts
- Vendor accounts
- Customer accounts
- GST input/output ledgers
- TDS ledgers
- Advances to vendors
- Employee advances
- Inter-company/inter-unit accounts, wherever applicable
8. MIS & Reporting
- Assist in preparation of daily, weekly and monthly accounting reports.
- Prepare outstanding receivables and payable statements.
- Assist in preparing cash flow and fund requirement information.
- Support preparation of expense analysis and other management reports.
- Prepare Excel-based schedules and reports as required by management.
9. Month-End & Year-End Closing
- Assist the accounts team in monthly closing activities.
- Prepare ledger schedules and supporting documents.
- Assist in identifying pending accounting entries and reconciliations.
- Support preparation of information required for statutory and internal audits.
- Coordinate for balance confirmations from customers and vendors.
10. Audit & Documentation
- Provide invoices, vouchers, bank statements and supporting documents required by auditors.
- Maintain proper physical and digital filing of accounting records.
- Assist in responding to audit queries under the supervision of senior team members.
- Ensure accounting documents can be easily retrieved for audit and compliance purposes.
Qualification
- B.Com
Skills Required
- Basic knowledge of accounting principles.
- Working knowledge of Tally Prime or similar accounting software.
- Good knowledge of Microsoft Excel.
- Basic understanding of GST and TDS.
- Good numerical and analytical ability.
- Attention to detail and accuracy.
- Ability to maintain confidentiality of financial information.
- Good communication and coordination skills.
- Willingness to learn and take responsibility.
Preferred Excel Skills
Candidates with knowledge of the following will be preferred:
- VLOOKUP/XLOOKUP
- Pivot Tables
- SUMIF/SUMIFS
- IF formulas
- Data filtering and sorting
- Basic reconciliation using Excel
Key Performance Indicators (KPIs)
Performance during the internship may be evaluated based on:
- Accuracy of accounting entries.
- Timeliness of data entry and documentation.
- Completion of bank/vendor/customer reconciliations.
- Accuracy in GST and TDS-related workings.
- Number of accounting errors or corrections required.
- Quality and completeness of supporting documentation.
- Timely preparation of assigned MIS reports.
- Ability to learn Tally/ERP and accounting processes.
- Discipline, attendance and adherence to timelines.
- Ability to independently handle assigned accounting activities over time.
