About the role (12-month contract)
As a Conflicts and AML Coordinator, you are a key part of Gilbert + Tobin’s compliance and new business intake function. You support conflicts, anti-money laundering and matter opening processes to ensure work can be taken on efficiently and in line with regulatory and internal requirements.
You work closely with the General Counsel team, Partners, Lawyers, Executive Assistants and business services teams. You coordinate checks, manage data and help keep processes moving smoothly.
This is a hands-on role where your attention to detail, organisation and judgement contribute directly to effective risk management and a strong client experience.
The role is a 12-month fixed term contract based in Sydney, Melbourne or Perth.
Key responsibilities
Maintain the conflicts and AML database, ensuring records are accurate, complete and aligned across systems, including 3E
Triage conflicts requests, coordinate information gathering and support the timely progression of checks and approvals
Monitor workflows and support smooth handovers across conflicts, AML and matter opening processes
Identify and resolve data gaps or inconsistencies, maintaining high-quality, audit-ready records
Support reporting, system improvements and ongoing process enhancements
Act as a central point of coordination across the General Counsel team, lawyers, Executive Assistants, Finance and other teams, escalating issues where needed
About you
You enjoy working in a structured, process-driven environment where accuracy and follow-through matter. You are organised, detail-focused and comfortable working with a wide range of stakeholders. You communicate clearly, use sound judgement and take pride in keeping things moving.
Experience in a coordination, compliance, risk, conflicts, legal operations, matter intake or similar role, ideally in a professional services environment
Strong attention to detail, organisational skills and ability to manage competing priorities
Confident communicator, with the ability to work effectively with lawyers, Executive Assistants and operational teams
Sound judgement, with the ability to identify issues and escalate where appropriate
Comfortable using databases, workflow tools and business systems, with an interest in data quality and process improvement
Able to handle confidential information with care, remain calm under pressure and work collaboratively across teams
