GEI Consultants is seeking a Marketing/Communications Assistant to support our growing marketing team and the engineers and scientists who pursue and deliver our work. This position is an excellent opportunity for an organized, collaborative, and detail-oriented professional who is interested in building a career in marketing within the A/E/C industry.
The Marketing/Communications Assistant will provide day-to-day support for both GEI’s marketing and communications teams to develop communications campaigns and content, proposals, qualifications packages, presentations, events, and other initiatives. The successful candidate will work closely with the marketing and communications teams, technical staff, and other corporate teams to help develop high-quality materials and content to position GEI effectively in the marketplace.
This role requires strong organization, solid writing skills, creativity, a willingness to learn, and the ability to manage multiple priorities in a deadline-driven environment.
Proposal & Pursuit Support
- Assist with the preparation, formatting, and production of proposals, statements of qualifications, requests for qualifications (RFQs), and other pursuit materials.
- Coordinate proposal information and deadlines with marketing staff and technical subject-matter experts.
- Gather resumes, project descriptions, graphics, and other content for proposals and presentations.
- Maintain proposal and marketing content libraries, including resumes, project sheets, and boilerplate materials.
- Support quality-control reviews of marketing materials for accuracy, consistency, formatting, and compliance with solicitation requirements.
- Assist with final production, printing, binding, and electronic submission of pursuit materials as needed.
- Track proposal opportunities, deadlines, and deliverables using established marketing systems and processes.
Communications
- Support the development of strategic communications campaigns (social media, blogs, news releases, project stories, etc.)
- Support the development and distribution of internal and external communications content.
- Assist with company news, project announcements, award submissions, employee profiles, internal/external webinars, and other marketing content.
- Help maintain and schedule the GEI websites and create social media content as directed.
- Assist with creating and updating marketing collateral, brochures, flyers, presentations, and other promotional materials.
- Generate ideas and new approaches for marketing communication priorities, including campaigns and key pursuits.
- Coordinate with graphic designers and other marketing team members to support visual communications, such as infographics and videos.
Events & Business Development
- Assist with planning and coordinating conferences, trade shows, client events, employee events, and other marketing activities.
- Support event logistics, registrations, materials, signage, promotional items, and follow-up.
- Assist marketing team and technical staff with client meeting, presentation preparation, and other business development opportunities.
Administrative & Team Support
- Take initiative in connecting with colleagues in support of marketing/communications, ensuring consistent follow-up and clear communication as needed.
- Maintain organized marketing files, databases, calendars, and shared resources/enterprise platforms.
- Enter and update information in marketing workload tracker and customer relationship management (CRM) systems.
- Assist with tracking marketing metrics, activity, and deadlines.
- Support special projects and initiatives across the marketing organization.
- Participate in team meetings and contribute ideas for improving marketing processes and resources.
- Provide general administrative support to the marketing team as needed.
Qualifications
- Bachelor's degree in marketing, communications, business, English, public relations, or a related field; equivalent experience may be considered.
- 1–3 years of marketing, communications, administrative, or related professional experience preferred, but not required.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple projects and deadlines simultaneously.
- Strong proficiency with Microsoft Office, particularly Word, PowerPoint, and Excel. Familiarity with Adobe Creative Suite, particularly InDesign and Photoshop, is a plus.
- Ability to work collaboratively with people across different disciplines and levels of an organization.
- Familiarity with social media platforms and video editing software a plus.
- Demonstrated ability to learn new systems, processes, and software quickly.
