Description

The Accounts Payable (AP) Clerk is responsible for the daily processing and management of the hospital’s financial obligations and will report directly to the Chief Financial Officer. This role ensures that all vendor invoices, employee reimbursements, and facility expenses are recorded accurately and paid within established timeframes. The ideal candidate will be detail-oriented, organized, and capable of maintaining professional relationships with both internal department heads and external vendors.


Key Responsibilities

  • Invoice Processing: Review, code, and enter a high volume of invoices into the accounting system with accuracy.
  • Three-Way Matching: Reconcile purchase orders, receiving documents, and invoices to ensure billing accuracy before payment.
  • Vendor Management: Maintain the vendor master file, respond to inquiries regarding payment status, and reconcile monthly vendor statements.
  • Disbursements: Prepare weekly check runs and electronic payments (ACH/Wire) for approval and distribution.
  • Compliance & Documentation: Ensure all expenses comply with hospital policies; maintain organized digital and physical financial records.
  • Month-End Support: Assist the finance team with month-end closing activities, including accrual entries and expense analysis.
  • Audit Preparation: Provide necessary documentation and support for internal and external financial audits.

Requirements
  • Education: High school diploma or equivalent required; Associate’s degree in Accounting or Business Administration preferred.
  • Experience: 1–3 years of high-volume accounts payable experience, ideally within a healthcare or hospital setting.
  • Technical Skills: Proficiency in Microsoft Excel (VLOOKUPs, pivot tables) and experience with accounting software (e.g., Sage, NetSuite, or specialized healthcare ERPs).
  • Attention to Detail: Proven ability to identify discrepancies and resolve billing issues independently.

  • Ability to work in a fast-paced environment and meet strict weekly and monthly deadlines.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Strong communication skills to interact with various clinical and administrative departments.
