Summary: EVO Care Group is a growing home healthcare organization looking for a solutions-focused Scheduling Coordinator to ensure patients receive timely care. The role involves coordinating caregiver schedules, maintaining accurate records, and communicating effectively with various stakeholders to ensure smooth operations.
Responsibilities:
- Coordinate daily schedules for caregivers based on patient needs, availability, language, and location
- Create the best possible caregiver-patient matches to ensure continuity of care
- Confirm all caregiver assignments and ensure the following day's schedule is fully staffed before the end of each day
- Communicate with caregivers, patients, families, and referral sources regarding schedules and care updates
- Partner closely with Clinical, HR, and Recruiting to fill open shifts and respond to changing staffing needs
- Maintain accurate scheduling records using HHAeXchange, Salesforce, and other agency systems
- Respond quickly and professionally to call-offs, schedule changes, and urgent coverage requests
- Participate in the agency's on-call rotation as assigned
Required Qualifications:
- Fluent in English and Spanish (required)
- High school diploma or equivalent required
- Minimum of 1–2 years of experience in scheduling within a home health or healthcare setting
- Outstanding organizational, communication, and customer service skills
- Ability to multitask, prioritize, and stay calm under pressure
- Positive attitude, strong work ethic, and exceptional attention to detail
- Understanding of home care workflows, caregiver roles, and patient needs
- Knowledge of Medicaid, MLTC, and private duty home care scheduling practices
- Familiarity with HIPAA, caregiver credentialing, and visit verification requirements
- Strong interpersonal communication skills – both verbal and written
- Excellent customer service abilities with empathy and patience, especially when working with the elderly
- Proficient in Microsoft Office (Word, Excel, Outlook) and basic office equipment
- Organized, reliable, and detail-oriented with strong multitasking capabilities
- Work independently and collaboratively in a high-pressure, fast-paced environment
- Remain flexible and solutions-focused while managing dynamic schedules
- Deliver excellent customer service with empathy and patience, especially when working with elderly clients
- Communicate clearly, calmly, and professionally across diverse backgrounds
- Adapt to new systems, protocols, and operational workflows as needed
Preferred Qualifications:
- Associate degree preferred
- Experience with HHAeXchange or similar scheduling software strongly preferred
- Prior use of HHAeXchange or similar scheduling/EMR platform strongly preferred
